Position Summary
The role of Program Associate will be responsible for supporting the GME Initiatives department at the American Association of Colleges of Osteopathic Medicine (AACOM) and will be critical to AACOM’s efforts in advancing graduate medical education (GME). This role will report to the Program Manager, GME Initiatives.
Essential Duties And Responsibilities
Support the GME team in developing, implementing, and evaluating programs and initiatives
Supports the day-to-day operations and administration for national, state, or regional focused programs, initiatives, and groups
Lead the coordination of task forces, workgroups, planning and executing events
Build and maintain relationships with national, state, and regional partners and manage vendors as needed
Manage meeting logistics, agenda, and minutes; and preparing materials; and coordinating regular updates (email, phone and/or in person) to ensure alignment of activities
Support the coordination of membership programs, including professional development and special interest groups
Develop and implement strategies to attract new members, retain existing members and increase member engagement
Analyze membership data to identify trends and opportunities for growth
Supports the program-related research, writing and reporting
Support evaluation of all program activities and quality improvement activities, including data entry and basic data analysis
Support in developing, editing, and updating program informational items for internal staff, members, and partners
Create presentations/proposals for internal and external audiences
Ensure consulting contract deliverables are met and manages consultant budgets
Ensures timely and accurate communication and coordination between individuals and organizations through regular communication
Develop and curate web content, webinars, newsletters
Assist with the collection and reporting of KPIs and impact data
Conduct research via surveys
Manage the scheduling and logistics for all events, including in-person and virtual meetings and webinars
Assist in the development of budgets for events, vendor contracts
Coordinates all logistical and promotional arrangements for program events, including reserving rooms, developing informational descriptions and event invitations, monitoring RSVPs, ordering food and supplies, arranging room set-up, and serving as the main point-of-contact for attendees. Coordinate with internal teams on events
Maintain and regularly update program documents, files, email lists, and relevant databases
Update the program databases, trackers, and documents to ensure documentation, lessons and impact are captured from GME initiatives
Develop and maintain the contact list using Association Management System (AMS)
Maintain electronic and written program-related files and documents
Execute assigned programs/projects
Other duties as assigned
, Qualifications
Qualifications And Skills
Bachelor’s degree or equivalent experience, required.
3+ years of work experience related to program management
Experience managing a professional membership program
Customer service experience
Experience working in a remote/home-based environment
Exceptional attention to detail and high-level organizational skills with the ability to handle and prioritize multiple tasks in a fast-paced, deadline-oriented environment
Strong teamwork skills to effectively coordinate internally within the GME team and with other departments in the organization and external stakeholders.
High degree of self-motivation
Ability to maintain a customer-service mindset in all interactions and represent the organization and GME team positively
Experience with webinar and conference calling systems such as Zoom, ReadyTalk etc.
Experience with meetings/event planning and execution
Ability to exercise independent judgment to accomplish tasks and resolve issues quickly and efficiently
Very strong communication skills (both written and oral)—comfortable communicating via email, phone, and face-to-face contact
Excellent computer skills, including proficiency in Microsoft Office suite: Word, Excel, Outlook, SharePoint
Familiarity with data visualization tools such as Tableau
Research skills (internet research etc.)
Proven ability to effectively prioritize workflow with minimal supervision
This position is primarily sedentary and is performed in a home office-like setting (remote work)
Position requires ability to communicate effectively, and the ability to use computers, telephones, and other office equipment
Some lifting of up to 20 pounds may occasionally be required
Travel for the annual conference and key GME related conferences will be required
Travel to AACOM headquarters (Bethesda, MD) for in-person GME team meetings required a few times each year
Flexibility to attend and lead occasional evening meetings and/or webinars as needed

Compensation And Benefits
This is a full-time position with health, dental, vacation, and 401K benefits. The salary for this position is $62,000 - $68,000 annually.
