Objective
Coordinates all administrative aspects of the following Tampa Bay Chamber Foundation programs: Leadership Tampa (LT), Emerging Leaders of Tampa Bay (ELTB), Leadership Tampa Alumni (LTA), and the Minority Business Accelerator (MBA).
Responsibilities
Minority Business Accelerator – 50%
The Minority Business Accelerator (MBA) is a program of the Tampa Bay Chamber Foundation designed to support Black and Hispanic businesses prepare for growth. The Foundation Program Coordinator will report to the Director of Economic Inclusion and provide operational support to the MBA program in the following ways:
Meetings: schedule meetings, prepare agendas, send reminders, take attendance, and update internal database and events calendar. Help with room set-up for in-person meetings. Most in-person meetings will be held in the Tampa Bay Chamber office or in the Tampa downtown area.
Events: coordinate with outside vendors (photographer, AV, catering, etc.), process invoices, help with online registrations, prepare and print materials, help with room-set up for MBA signature events.
Monthly Newsletters and Quarterly Impact Reports: work with Director of Economic Inclusion to collect information, prepare content, and send to Communications department.
Recruitment and Application Process: attend tabling events with Director of Economic Inclusion to promote the MBA program in the community, process applications, coordinate interviews, and support onboarding process for selected companies.
Other administrative duties as needed.
Leadership Programs – 50%
Assist with Leadership Tampa Program planning
Process and prepare Leadership Tampa Program candidate applications
Create, track and review survey feedback for Leadership Tampa
Prepares meeting notices, agendas, materials, and minutes as assigned by the Senior Director of Leadership Programs. Inputs agenda, minutes, and attendance in database as assigned by the Senior Director of Leadership Programs
Coordinate with outside vendors for Leadership programming needs
Assist with processing vendor invoices and expenses
Assist with Emerging Leaders and Leadership Tampa Alumni membership database entry
Create and update events and committee meetings within database for all Leadership Programs
Documents all process and procedures as necessary related to job duties and responsibilities
Assist with Chamber events outside of normal operating hours as assigned
Other duties as assigned
Other Foundation Programs
The Foundation Program Coordinator may be asked to provide administrative support to the Chamber’s Collegiate Leadership, Military, and/or Workforce Development programs, if needed.
Specifications
Bachelor’s degree or relevant professional experience
Skills: Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook), strong organizational skills, attention to detail, excellent written and verbal communication skills.
Experience with database management
Confidence to communicate with members and excellent customer service
Ability to track and manage multiple projects simultaneously
Ability to perform job functions with minimal daily supervision
Demonstrates professionalism, reliability, and a positive attitude
Demonstrates a strong interest in the mission and impact of the Tampa Bay Chamber Foundation’s programs, as well as a passion for contributing to community development.
Non-profit or membership association experience preferred
Relationships/Accountabilities
Accountable to staff members by ensuring their support needs and requests are met timely, efficiently, and accurately in a friendly, engaged, and professional manner.
Accountable to members and volunteers by ensuring their needs are met and questions answered in a timely, friendly, engaged, and professional manner.
Accountable to the Director of Economic Inclusion and the Senior Director of Leadership Programs by ensuring that all tasks and duties are completed accurately by the specified deadline.
