Fleet Administrator

The PENTA Building Group is searching for a Fleet Administrator to join our team in Las Vegas, NV!

The Fleet Administrator assists in administrating and coordinating motor vehicle fleet processes, technology, and overall strategy. The Fleet Administrator prepares and maintains accurate records of vehicles, drivers, MVRs, insurance, and ensures employees meet safety and compliance requirements including company policies.

At PENTA, a Fleet Administrator will:

  • Update and maintain our Fleet Tracking System- Data entry for vehicle maintenance and management
    • Vehicle location per region, count, and vehicle assignments.
    • Schedule maintenance with drivers.
    • Verifying leased and purchased vehicles are properly titled.
    • Management or registration for proper assignment to entity.
  • Report incident/accident and/or damages to the Risk Management Team
    • Update incident response kits for the vehicles.
    • MVR monitoring and notification to management of deviation from program thresholds for infraction reporting to employees’ supervisors.
  • Coordinate Lease Management
    • Recommendation on purchasing or returning vehicles.
    • Ordering vehicles for new lease.
    • Damage expense tracking and coordinating repairs with vendors.
  • Assist in adding new users to all Fleet Management Systems
    • Update management to Samsara for continuous tracking.
    • Negotiate car wash contract service for fleet to ensure vehicles are kept clean and free of debris that could come loose when driving and damage other vehicles on the roadways.
  • Assist and coordinate loaner program
    • Loaner in the event of temporary need for repairs of assigned vehicles.
    • Vehicle use for traveling employees.
    • Cleaning of loaner vehicles between assignments.
  • Telematics, review and analysis, notification to management of threshold deviation.
  • Process fleet expenses (including software license management), tracking, and reporting.
  • Track and coordinate notifications to management
    • MVR tracking and notification for employees who are on vehicle allowance.
    • Insurance tracking in Origami for Risk review for compliance.
    • Process Vehicle Allowance and submit to accounting.
    • Establish and coordinate national maintenance and car wash agreements for Gray Fleet.
      • Discount programs only.
Department Support

  • Additional administrative responsibilities include, but are not limited to, answering telephone calls, expense reports, data entry, and filing.
  • Serve as back-up to the Main Office Coordinator when absent.

We trust that you have:

  • Minimum 1 to 2 years of experience with fleet administration is preferred, or 2+ years in an administrative support role.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to organize and maintain a wide variety of activities across three regions.
  • Strong organizational skills and the ability to work under pressure to meet deadlines.
  • Capability of follow-up with others and tracking down information.
  • Excellent attention to detail.
  • Ability to handle multiple tasks and prioritize time management efficiently.
  • Strong written and verbal communication abilities; strong interpersonal and problem-solving skills.
