Position Summary

Cambrian College’s Records, Registration and Financial Aid requires a full-time Financial Aid and Awards Officer.

Note: Internal candidates, as defined by the Full-Time Support Staff Collective Agreement, will be given first consideration.

Duties and Responsibilities

  • Build and maintain accurate student funding records, both at the College and at the Ministry, performing funding coordination functions within the Enrolment Centre to ensure details are accurately recorded in different systems and students and sponsors are provided the information required to proceed.
  • Receive, review, process, and approve OSAP applications, ensuring accuracy and completeness of student applications.
  • Update and maintain records with respect to continuation of interest-free status.
  • Process tuition refunds and repayments for funded students, and coordinate return of funds to OSAP, where necessary.
  • Maintain an accounts receivable process in conjunction with the College’s Finance Office, and the Ministry’s accounts receivable department by billing students and collecting funds from students that have been overpaid by the OSAP bursary process.
  • Provide coordination and support for the financial aid/OSAP/bursary and scholarship processes at the College, including the SAG (Student Access Guarantee), and the BSWD (Bursaries for students with disabilities) programs.
  • Prepare letters, quotes, and other funding-related communication for different sponsors (WSIB, Second Career, ODSP, Indigenous sponsors etc.).
  • Respond to enquiries (through email, phone, virtual, and in person) related to OSAP, Sponsorship and all funding opportunities.
  • Coordinate and administer Student Awards, Scholarships and Bursary programs. Plan, create and maintain award aid funds, system controls, budget maintenance, and aid fund properties; track requisites, committee selections, award processes and distribution, as well as audit award/system set ups and make recommendations as necessary.
  • Act as main point of contract for the College’s Hardship Bursary Program, receiving, reviewing, and deciding on applications for student TSA-related funding.
  • Participation of OSAP and Award opportunities at various college events.

Qualifications

Required

  • A three-year postsecondary diploma, degree, or equivalent. (A copy of educational documents must be submitted with application *** education completed outside of Canada, applicants are required to submit a WES or ICAS with their application)
  • Two years of work experience where financial management and records management skills were required, along with experience working with student awards and/or OSAP.
  • The ability to balance multiple tasks with frequent interruptions.
  • Effective communication skills and good judgment and problem-solving skills.
  • Excellent interpersonal and customer-service skills.
  • Proficiency in Microsoft software such as Word, Excel, and Outlook.
  • Commitment to working within a team environment.

Additional Asset/Preferred

  • Experience in a postsecondary educational setting.
