The Facilities Manager is responsible for maintaining the physical offices, storage warehouses, and workshops where our team members are operating. This includes both sales and production offices located in the 7 states (and counting) that we operate in.
Vendor Management
Build and implement new Standard Operating Procedures (SOPs) track all hardware assets / equipment throughout our offices.
Coordinate with vendors to ensure all work is performed to professional standards related to interior building maintenance including HVAC, electrical/lighting, plumbing, painting, carpet/flooring, carpentry, replacing ceiling tiles, tile & grout, art installation, etc.
Coordinate with vendors to ensure all work is performed to professional standards related to exterior building maintenance including parking lot maintenance, landscaping, building preservation, trash services, cleaning services, signage, parking lot signage, window cleaning, etc.
Work with Corporate Vice President to negotiate on-going maintenance agreements for the items outlined in this section when/where appropriate.
Property Management
Conduct proactive regular facility inspections and ensure that any necessary repairs or maintenance are completed in a timely manner (ideally before a work order is submitted)
Address employee concerns and complaints promptly and professionally utilizing the work order system.
Maintain accurate records of all financial transactions related to the facilities, including expenses and contracts
Ensure that all facilities are compliant with local and state regulations
Develop multi year budgets related to on-going maintenance and upkeep
Corporate Dept Liaison
Work with Safety and Loss Control to evaluate office layouts, storage, etc. to ensure items are properly stored and everything in closets and offices are neat and tidy.
Work with Admin & Culture Team to ensure there is adequate storage to properly organize all items necessary to operate the offices
Work with Sales to ensure the property meets their needs and is conducive to executing the sales functions.
Work with IT Department to ensure all camera systems, FOB key systems, WiFi, etc. are operating properly and maintained accordingly.
Work with other departments as needed to ensure the physical office helps support the functions needed for them to execute their roles
Required Skills/Activities
Multitasking/Prioritization. Many calls, tickets, orders, issues, etc. will come up simultaneously. Being able to prioritize your tasks is very important.
Willingness to Learn. This role is an integral part of Team Advocate and the person in this role will consistently be learning new software and new systems to better serve the needs of our employees.
Basic Knowledge of Facility Maintenance / Property Management. This role oversees the ongoing maintenance and upkeep of our offices and ensures the spaces remain in tip top shape.
Initiative. It is very important for this person to be self-motivated and have individual responsibility.
Willingness to Travel. Travel to each office at least twice a year to ensure that facilities are running smoothly
Basic Skills Related to Property Management. Utilize basic skills to complete small repairs or maintenance tasks as needed (such as mounting photos, TVs, smart boards, replacing ceiling tiles, etc.)
Desired Experience

Associate’s degree in business administration, facilities management or related field
2+ years of experience in facilities management or related field
