Facilities Maintenance and Construction Coordinator

Grade 125- Placement range $74115.00 to $84703.00

Plans, organizes, and coordinates the activities and operations of the maintenance department. Coordinates and monitors assigned activities with other departments, sites, outside agencies, and contractors. The Facilities Maintenance & Construction Coordinator is a first-line supervisory management position responsible for the efficient and effective performance of skilled and advanced skilled maintenance in the construction and repair of plumbing systems, electrical, painting and structures, masonry, signage, and air handling. The Coordinator applies considerable knowledge of construction trades, building and infrastructure maintenance to supervise skilled staff, and prioritize projects, assignments, and services that contribute to the District’s vision for safe environments conducive to learning.

Essential Duties And Responsibilities

  • Plans, organizes, manages, and evaluates the work of skilled maintenance, custodial, energy, and safety functions staff. Establishes departmental standards and work plans, prioritizes, assigns, and reviews the work of staff responsible for providing construction, maintenance, repair, and energy management of district buildings, structures, and utilities.
  • Provides leadership and works with staff to develop and maintain a high-performance, centralized, and responsive team of multi-skilled specialists working in the building trades and energy management.
  • Prepares and implements the work schedule for routine maintenance and construction activities. Meets with staff to identify and resolve problems. Assign work activities and projects. Monitors workflow. Reviews and evaluates work methods and final products for completeness and quality.
  • Coordinates the day-to-day organization, staffing, and operational activities for maintenance programs including construction, maintenance, repair, and operation of utilities, heating and cooling systems, and energy management.
  • Review scope of work for in-house projects and contract work. Creates material and equipment specifications and lists, estimates costs for labor and materials, and schedules and sequences work and/or works with outside contractors/consultants.
  • Works closely with outside contractors and project managers to ensure work and finished products meet district expectations and are safely and efficiently completed. Oversees compliance with appropriate uniform building codes and regulations. Implements building safety and energy management programs.
  • Assigns maintenance personnel to projects and services by accepting and organizing work order requests, prioritizing urgent needs, and following up to evaluate work performed. Provides or coordinates staff training. Works with employees to appraise performance and correct deficiencies. Implements first-step discipline procedures.
  • Assists in the development and administration of the budget for maintenance. Processes expenses, ensuring proper use of labor and materials. Reviews, processes, and submits departmental payroll, maintaining strict District deadlines.
  • Coordinates maintenance operations with those of all District sites, other departments and outside vendors and contractors. Provides staff assistance to the Director. Prepares and presents staff reports and other necessary correspondence.
  • Assists the Director in the administration of programs involving the maintenance, operation, upgrade, and repair of heating, lighting, plumbing, air conditioning, ventilating, and refrigeration systems, and the construction, remodeling, maintenance and repair of buildings, sport facilities, and related equipment.
  • Supervises preventive maintenance programs. Provides long-range planning in computerized maintenance operations. Assists in planning workplace health and safety programs for the department.
  • Assists with the development of project scope and specifications for RFPs and bids. Monitors work-in-progress and approves and processes invoices.
  • Performs other duties as assigned that support the overall objective of the position.

Minimum Education And/Or Experience

  • High School diploma or GED
  • Experience in building maintenance and operations
  • Experience as a team leader
  • Experience in a technical trade

Preferred Education And/Or Experience

  • Associate Degree with major coursework in technical engineering, industrial technology, a skilled trade or a related field.
  • Mastery of at least one of the technical trades plus 6 years increasing responsibility in building maintenance and operations including 2 years’ experience as a team leader.

Knowledge, Skills And Abilities

Knowledge and Skills:

  • Building maintenance and operations.
  • Complex practices and principles of the installation, operation, maintenance and repair of the lighting, air conditioning, electrical, plumbing, carpentry, masonry, painting, locksmith, and mechanical systems.
  • Working knowledge of uniform building codes including public educational institution regulations for accommodating the handicapped.
  • Rules, regulations, and safety orders as applied to construction, operation, and maintenance of buildings.
  • Math skills in preparing budgets, estimating materials, measuring distances, and costs.
  • Oral and written skills to prepare correspondence, reports, and specifications.
  • Principles and best practices of maintenance administration including supervision of others, general human resources management, budgeting, purchasing, and project management.
  • Well-developed human relations skills to build a service-oriented team, convey technical instructions, and work collaboratively with internal customers and external contractors.

  • The incumbent performs work of a moderately active nature in predominately an indoor environment and periodically work outside with exposure to weather variations and safety considerations when operating vehicles, equipment and tools used in maintenance and operations of District facilities. Requires sufficient ambulatory ability to inspect premises, including some ability to bend, stoop, and walk-in confined areas. Requires arm, hand, finger dexterity to operate keyboard and other office equipment. Requires sufficient visual acuity to read detailed drawings, recognizing words and numbers. Requires sufficient auditory ability to carry on conversations in person and over the phone. Work is performed indoors and outdoors where some, yet minimal, safety considerations exist while inspecting construction sites.
