Facilities Coordinator

We are currently seeking a Facility Coordinator in Silver Spring, MD area to join our account team in the pharmaceutical and commercial space industry. The Facility Coordinator will provide leadership to the operations team for a corporate city building.

Reports to: Account Manager

General Description

Assist the Client in the delivery of services to operate and maintain the property including customer/client services, financial management, coordination, procurement, and supplier management. Develop client relationships with key representatives in supporting client's corporate real estate.

Principal Job Duties And Responsibilities

Planning: plan weekly workload

Relationship Management: develop a broad set of relationships with site colleagues

Service Delivery

  • Office and administrative support: respond to Site Operations related phone calls, coordinate the activities of Site Operations visitors, provide HQ with changes to Global Phone Directory, maintain office roster, create purchase orders and code invoices for Site Operation's local purchases (e.g. telephone, coffee vendors, community relations events), and perform general administrative tasks as needed.
  • Security: coordinate access of entry doors, schedule access of freight elevators, communicate and monitor security policies, maintain visitor log, monitor security cameras when needed, issue visitor badges, coordinate with Security for the issuance of Global ID badges, support site as required with Emergency Response activities in coordination with EHA and Pfizer manager, and support Pfizer Security and Pfizer manager with other security related items as needed.
  • Facilities Services: Coordinate space needs for groups and individuals, schedule meeting rooms and coordinate catering and transportation needs, monitor housekeeping throughout the office, monitor and inspect conference room facilities before and after use, maintain inventory of furniture and fixtures (all fixed assets including computer equipment), receive, handle and track requests for building maintenance and keys, and escalate issues to Pfizer manager when necessary. Provide quarterly report of expenses and meeting room usage. Point of contact and liaison for technical support for meetings and video conferences.
  • Site Services: Including but not limited to: provide mail and package services (including receiving and signing for all deliveries, sorting and notifying staff, and sending out mail/packages), receive and sign for all deliveries, coordinate maintenance of office equipment (excluding phones and computers), train office colleagues on equipment operation and procedures (mail room and work rooms), purchase supplies, stock and monitor work rooms and kitchens/pantries, coordinate with coffee and soda vendors, resolve issues with conference room scheduling (escalates to Pfizer manager as necessary), provide HQ with changes to Global Phone Directory, maintain office roster, and code invoices for Site Operation's local purchases (e.g. telephone, coffee vendors, community relations events), to include follow up with GFSS to resolve any issues. Act as Point of Contact for general communications dissemination. Personal and Professional Development: take responsibility for developing skills required to be highly successful in this position.

Ongoing Operations: Perform other necessary duties as directed by the Pfizer manager and adapt to customers changing needs. May be required to work beyond normal business hours on occasion.

Enforce all Company policies and training requirements regarding safe and efficient operations and work practices.

Qualifications

Position Specifications:

  • Extensive experience in the field of facilities administration, coordination, and management field backed with three years of cumulative experience.
  • Less experience considered with undergraduate degree in related field. Must be able to communicate (verbally and written) with diverse groups of individuals.
  • Based on business needs, the position requires the flexibility to work off shifts and/or cover partial weekends.
  • Must be able to provide off-hours emergency maintenance coverage
  • Must be extremely Computer literate: MS Windows, MS Excel, MS Outlook, and
  • Must always comply with procedures, rules and regulations
  • Must maintain a safe and clean work environment.

  • On call duties and overtime as required
  • Must complete background and drug/alcohol testing
