Overview: We are seeking a seasoned, dynamic and highly organized Executive Personal Assistantto support a prominent High Net Worth CEO. This role requires exceptional organizational skills, discretion, and the ability to handle a wide range of administrative business tasks with efficiency and professionalism, as well as handling personal errands and tasks as needed.
Responsibilities:
Coordinate and manage Principal’s complex schedule, including meetings, appointments, travel arrangements, and speaking engagements.
Anticipate scheduling conflicts and proactively resolve them.
Collaborate with team members to facilitate Principal smoothly across several companies.
Serve as the primary point of contact for the Principal, screening and prioritizing incoming communications (emails, calls, mail).
Draft and prepare correspondence, presentations, and reports as needed.
Arrange all aspects of domestic and international travel, including flights, accommodations, ground transportation, and itineraries.
Ensure travel plans align with the Principal's preferences and business priorities.
Assist in planning and coordinating events, conferences, and seminars, both onsite and offsite.
Manage logistics, guest lists, and other event-related tasks.
Handle personal and business-related administrative tasks efficiently and confidentially.
Maintain files, records, and databases in an organized manner.
Run personal errands such as shopping, picking up dry cleaning, and other miscellaneous tasks as required.
Support special projects and initiatives as assigned by the Principle.
Conduct research, compile data, and prepare summaries or reports as needed.
Build and maintain positive relationships with key stakeholders, clients, and business partners.
Act as a liaison between the Principle and internal/external contacts.
Qualifications:
Proven experience (5+ years) as a Personal Assistant, Executive Assistant to a High Profile, High Net Worth individual.
Composed, Professional demeanor fueled by competence.
Excellent organizational and time management skills with the ability to prioritize tasks.
Strong written and verbal communication skills.
Utmost Discretion and confidentiality in handling sensitive information.
Tech savvy, proficient with Mac Computers and iPhones.
Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant software.
Ability to work independently with minimal supervision and as part of a team.
Flexibility to adjust to changing priorities and schedules.
Knowledge or interest in sales training, real estate, or entrepreneurship is a plus.
Availability to work flexible hours, including evenings and weekends when necessary.
Willingness to travel and adapt to last-minute changes.
Valid driver’s license and clean driving record.
