Executive Personal Assistant

Our client is an investment banking firm. They seek an Executive Personal Assistant to join their Manhattan, NY office. Requires 5 days in office with some flexibility as needed.


Responsibilities

  • Oversee multiple calendars, including scheduling meetings and appointments
  • Screen incoming communications, including emails, phone calls, and mail
  • Coordinate internal and external meetings, including booking rooms and catering
  • Maintain executives’ data and contacts in the firm’s CRM system
  • Work with internal teams to ensure seamless execution of conferences and events
  • Arrange travel itineraries, including flights, accommodations, and ground transportation
  • Assist with personal errands, such as shopping, event planning, and household tasks
  • Coordinate family-related activities, including children’s schedules if applicable
  • Uphold confidentiality and discretion regarding personal matters


Requirements

  • Bachelor’s degree in Business, HR, Communications, etc.
  • Previous administrative experience
  • Able to prioritize tasks and manage time effectively
  • Excellent communication and interpersonal skills
  • Able to handle confidential information with sensitivity
  • Skilled in Microsoft Office Suite and QBO
