Our client, a growing law firm in New York City, is hiring a highly organized and detail-oriented Legal Executive Assistant to join their team, supporting several Real Estate attorneys. The ideal candidate will provide crucial administrative support to our legal professionals specializing in real estate transactions. This role requires a proactive individual capable of handling a wide range of administrative duties in a fast-paced legal environment.


Responsibilities:

  • Coordinate and manage schedules, appointments, and travel arrangements for attorneys and other team members.
  • Prepare and organize legal documents, contracts, and correspondence related to real estate transactions.
  • Assist in drafting and proofreading legal documents, including leases, purchase agreements, and closing documents.
  • Maintain and organize electronic and physical files, ensuring all documents are accurately filed and easily accessible.
  • Communicate professionally and effectively with clients, attorneys, and external parties.
  • Conduct legal research and gather relevant information as needed.
  • Assist in billing and invoicing processes, ensuring accuracy and timeliness.
  • Handle confidential information with discretion and maintain a high level of confidentiality.
  • Perform general administrative tasks such as answering phones, managing email correspondence, and other duties as assigned.


Qualifications:

  • 5+ years experience as a legal assistant or executive assistant, preferably in a law firm.
  • Experience working in Real Estate is a plus
  • Familiarity with real estate legal terminology and processes is highly desirable.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal software applications.
  • Attention to detail and accuracy in all work tasks.
  • Ability to work independently and collaboratively within a team environment.
  • Bachelor's degree or equivalent experience in a related field preferred.
