Essential Duties and Responsibilities:

Property Operations Support:

  • Develop, maintain, and manage standard operating procedures for new and existing assets, ensuring compliance and a systematic approach to all assets.
  • Participate in property operations setup, including, but not limited to, back-of-house operations, major building equipment commissioning and operations, and engineering team oversight.
  • Support tenant improvement (TI) projects, including, but not limited to, work letter administration, tenant plan review, architect and contractor engagement and management, budget and tenant improvement allowance (TIA) monitoring and management and project close-out.
  • Systematic outreach to tenants, including routine inspection of spaces to proactively troubleshoot and mitigate any potential issues.
  • As directed, support tenant build-outs and mechanical and other major building system upgrades, including capital project oversight, recommendations, and implementation.
  • Manage and coordinate vendors in response to service requests by tenants for major repairs and general facility renovation.
  • Manage and work closely with a team of third party facilities engineering staff to ensure tenants satisfaction at a campus of properties.
  • Manage and work closely with janitorial staff, vendors, and contractors to ensure proper follow-through of work orders, repairs, and maintenance of buildings.
  • Establish communications with tenants to ensure maintenance and repairs are handled properly and efficiently.
  • Collaborate with asset management team on the preparation of capital projects plans for annual budgets.
  • Provide general support to other operating divisions of the Company, as needed.


Project Management for Capital Projects and Tenant Improvements:

  • Manage competing priorities and allocate and optimize time to ensure targets and timelines are met.
  • Prepare and provide oversight for the consultant, design and construction contracts, and ensure the obligations of such contracts are satisfied.
  • Develop, manage, and complete projects within Company approved budgets and schedules, assuring tenant occupancy and rent commencement by required dates.
  • Implement, manage, and confirm the tenant’s and Company’s obligations as detailed in its lease and work letter agreements for assigned projects.
  • Manage consultant and contractor payment applications, including review of invoices for conformance with contract documents.
  • Administer the collection of acceptable certificates of insurance, lien waivers and other required project documents, process consultant and contractor payments, monitor tenant improvement allowance budgets, and maintain project files.
  • Coordinate with tenants, tenant contractors and landlord’s contractors to minimize disruptions or loss of essential services, allowing for completion of TI and capital projects.
  • Prepare project status and performance reports.


Qualifications and Experience:

  • Bachelor’s degree highly preferred.
  • 10+ years of relevant experience in property and facilities management, building design, and/or real estate, with an emphasis in laboratory space a plus.
  • Required knowledge of building systems, systems commissioning, and systems design.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office products and a familiarity with CADD, BMS, and maintenance work request systems preferred.
  • Client service-oriented attitude a must.
  • High attention to detail, organizational and analytical skills, and ability to resolve complex issues in a timely manner while prioritizing and handling multiple projects simultaneously.
  • Experience with design and construction of laboratory and laboratory research projects highly desirable.
  • Working experience with construction contract preparation, AIA document forms, construction payment applications, lien waiver review and preparation, certificates of insurance, and other construction-related documentation.
