Job Overview

The Executive Assistant to the President of Operations will provide comprehensive administrative and operational support to ensure the Operations Executive team is primed for daily excellence. This high-impact position requires a dynamic individual who excels in administrative support, calendar management, and logistical coordination of travel, meetings, and events.The ideal candidate is detail-oriented, proactive, and approaches tasks with a confident and positive attitude, no matter their scale or complexity.

Roles You Will Play

The Right-Hand Person

  • Serve as an administrative liaison to the President of Operations in managing the prioritization of goals, objectives, and commitments.
  • Streamline scheduling and preparation of professional commitments, continuously seeking ways to enhance day-to-day efficiency.
  • Ensure leadership is well informed and proactively prepared for upcoming commitments anticipating needs in advance of meetings, and travel.
  • Manage a robust calendar of appointments and commitments for the Operations Executive team, creating detailed itineraries, reserving meeting spaces, arranging catering, confirming technology requirements, and preparing documents as needed.

The Task Manager

  • Manage invoice processing, expense reconcilliation, and payment request generation for the Operations Executive team.
  • Coordinate all travel plans and logistics, including accommodations, transportation, and meals for the Operations Executive Team, often in collaboration with market teams.
  • Contribute to team efforts by swiftly adapting to balance competing priorities and seamlessly switching between tasks.

Building Blocks of Success

  • Prior experience as an Executive Assistant in a fast-paced corporate environment.
  • Bachelor’s degree preferred, not required.
  • Excellent interpersonal skills, ability to effectively interact with senior-level leadership and establish cooperative working relationships with diverse teams.
  • Open to learning new skills and procedures; adaptable to changing priorities.
  • Service-oriented mindset with a "no job is too small" attitude.
  • Ability to mainatin the highest level of integrity, confidentiality, and discretion.
  • Self-starter with a proactive approach; demonstrates emotional and professional maturity.
  • Excellent written and verbal communication skills.
  • Superb organizational skills with ability to multi-task; attention to detail, accuracy, and problem-solving skills.
  • Proficiency in Microsoft Office Suite and general computer skills.
  • Willingess to work on weekends and after hours as needed.
  • This is an in-office position based in our Buckhead location.
