The Patrick J. The Executive Assistant to the President will be deeply committed to PJMF’s purpose to create a thriving, equitable, and sustainable future for all through the advancement of AI and data solutions. In this role, you will be an active member of the Office of the President and will serve as a trusted liaison and strategic partner, managing a diverse range of high-level projects, international and domestic travel, and day-to-day administrative duties. The ideal candidate is a detail-oriented self-starter with prior experience supporting high-level executives in dynamic, high-energy, high-growth environments. This role requires someone who is resourceful, inquisitive, innovative, demonstrates impeccable initiative, and is capable of making fast decisions with the balance between autonomous actions and shared decision-making.


How You'll Make an Impact


  • Daily Workflow Management – Assist the President in managing and prioritizing daily workloads, adjusting for revised priorities, and ensuring the smooth operation of the office in the President’s absence. This includes preparing and organizing meeting materials and maintaining office continuity. Ability to structure long-term strategic thinking and mapping for calendars and engagements, particularly centered around travel, time zones and various countries. Manage high-volume internal and external information flows from multiple sources, organizing and accessing information quickly when needed.
  • Briefing Materials – Organize and consolidate high-quality briefing materials for meetings and public appearances, ensuring the President is well-prepared and informed for all engagements.
  • Confidential Information – Handle sensitive, complex, and confidential information with the utmost professionalism and discretion, ensuring the security and integrity of all communications.
  • Communication Management – Edit and prepare written memoranda, talking points, letters, and other communications on behalf of the President. Monitor the President's communications (email/mail/phone), answering routine communications and correspondence to maintain efficiency.
  • Travel Coordination – Coordinate high-volume travel arrangements (domestic and often international) and logistics for meetings and conferences, including flights, hotels, transportation, and expense reporting. Ensure all travel plans are seamlessly executed and aligned to the President’s schedule.
  • Event Planning – Assist with planning and organizing internal and external meetings involving the President, coordinating with various stakeholders to ensure all details are managed and expectations are met.


What You Will Need to Succeed


  • Proven Experience – A minimum of 8+ years of demonstrated history supporting senior executives is required. Experience in fast-paced, high-growth settings and the ability to adapt quickly to changing priorities and demands are essential for success.
  • Technical Proficiency – While specific tool proficiency is not required, a commitment to continuous performance improvement and the ability to learn and adapt quickly to new technologies and systems is essential. Familiarity with the following tech stack is preferred: G-Suite, Slack, Trello, Asana.
  • Decision-Making – Strong judgment skills with the capacity to take individual agency, make quick decisions, and understand what needs to be communicated for shared decision-making versus what can be handled autonomously.
  • Communication – High communication and high trust with the President, maintaining an informal engagement that is "always on." With others, interaction should be respectful and dignified, always focused on mission and purpose.
  • Continuous Improvement – A commitment to continuous performance improvement, seeking ways to enhance efficiency and effectiveness in all tasks and processes.
  • Interpersonal Skills – Ability to build and maintain relationships with a diverse range of stakeholders, including staff, board members, and external partners. Utilize a high degree of tact and diplomacy in handling matters that are critical or confidential in nature.
  • Communication Skills – Excellent written and verbal communication skills, ensuring successful interaction with all levels of employees and external contacts. ability to convey information clearly and effectively in various formats.
  • Organizational Skills – Exceptional organizational skills with a keen attention to detail. Ability to multitask and manage multiple projects simultaneously in a fast-paced, often changing environment.
  • Special Projects – Take on special projects as assigned by the President, demonstrating flexibility and adaptability in managing a wide range of tasks and responsibilities.
  • Liaison Role – Serve as a liaison between the President and other team members, facilitating communication and collaboration across the organization.
  • Crisis Management – Ensure the President is informed and prepared to respond effectively in crisis management situations. High tolerance for ambiguity and ability to adapt to changing priorities, strategic frameworks, and definitions of success.

What We Offer


  • Salary – We anticipate the starting salary range for this role to be $80,000 - $130,000
