A commercial real estate development firm is looking for an Executive/Personal Assistant to the Founder/CEO. The role is 65% personal and 35% business duties. The role is hybrid – 2 or 3 days in office, 1 or 2 days working remotely. The CEO previously had an EA for over 30 years. The role is 9-3, no nights or weekends. The office is quiet with no foot traffic and no phones (employees use cell phones)


About the Job:

Be the central point of contact for urgent business issues or initiatives

Act as a liaison between the President and others across multiple business units to ensure goals and objectives are aligned and achieved

Maintain calendar

Schedule internal and external meetings

Ensure that information is disseminated effectively and efficiently

Support the Founder in his strategic planning and execution of immediate and long-term goals

Keep the CEO focused on strategic priorities and processes

Coordinate company meetings, agendas, facilitate discussions, drive follow-up actions and initiatives, take notes at meetings

Manage special projects assigned by the President that require cross-collaboration, ensuring timely delivery and successful completion

Represent the CEO and the organization in internal and external meetings as needed

Coordinate travel arrangements with a travel agent

Vet and prioritize the CEO’s emails and write responses on his behalf

Process expense reports

Maintain the schedule for visitors to Hawaii vacation home

Personal assistance: personal travel, research hotels for trips, car maintenance and wash,

personal appointments, filling out forms and applications, planning events and online shopping, returns, keep track of birthdays, purchase gifts, hire and oversee vendors for the home, make dinner reservations and appointments, order groceries

Special projects -keep IT up and running (can hire the appropriate ppl)


About You:

Minimum of 10 years of experience in a related support position

Previous experience supporting a C-level

BA/BS from a college or university

Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)

Experience using Google Suite

Experience using Trello a plus (will train)
