Reputable investment bank in NYC is seeking an Executive Assistant to support one of the top Executives
The ideal candidate has 5 years of Executive Assistant experience within the banking industry.
The position is paying up to $125K and the company would like to interview ASAP.
Responsibilities:
Maintain executives’ calendar, schedule all meetings and conference calls, field e-mails and phone calls requesting meetings, handle meeting conflicts and prioritization issues
Editorial Skills: Able to update and edit slide decks (PowerPoint), correspondence, invitations, long form writings. Must have a grasp of editing, file formats and PowerPoint.
Solutions oriented: Have the attitude of “I don’t know but I will figure it out”. Someone excited by seeing a whole process and making it more efficient.
Understanding of or willingness to learn virtual events platforms. The ability to manage or facilitate a heavy schedule of virtual and in-person events (Boards and Columbia events)
Arrange all aspects of travel, keeping travel profiles up-to-date, arrange flights, hotels, rental car
Prepare all itineraries
Prepare and submit all expense reports on a timely basis, following up on discrepancies and missing receipts to maintain current balances
Maintain filing system, correspondence, documents and personal files for executive
Navigate Firm’s resources, interface with various departments on behalf of executives to collect information, respond to requests, obtain services
Provide backup support for colleagues during vacation/sick days, and assist their bankers as needed with phone coverage and other office needs
Personal work: Must stay on top of personal appointments and insurance filings making sure they are in order and doctors talk to each other
Supporting a team of four: senior advisor, two managing directors and a vice president
Requirements:
5+ years of experience
Bachelor's Degree
Proficient in Microsoft Office applications, Outlook for email, calendar and contacts, Excel, PowerPoint
Excellent communication, writing, judgment, and problem-solving skills
Flawless attention to detail as well as excellent organization/time management skills
Must be an enthusiastic, positive team player who is willing to help out and who works well with colleagues
Able to work in a fast-paced environment and handle multiple tasks concurrently
Strong analytical skills
Ability to work independently with minimal supervision
