Job Summary: The Executive Assistant to our CEO & CFO will handle correspondence, scheduling and meeting coordination and preparation. You'll also screen calls, relay messages and respond to inquiries that do not require executive involvement; read mail and email correspondence, highlight actionable items and respond when possible; and schedule and support Board of Director meetings and the requirements of the Board Members- coordinating with their administrative team. In addition, you'll make complex domestic and international travel arrangements, complete and review expense reports and handle highly confidential and sensitive material.


Dip Into Your Role:

  • Provides administrative support in a variety of functions to the CEO & CFO that are focused on increasing the efficiency of the executive.
  • Reviews, prioritizes, directs and delegates a wide variety of complex and confidential requests that are presented to the executive for consideration.
  • Summarizes, prioritizes, and researches information into a concise and usable format for the executive to review.
  • Responds to or routes priority or confidential inquiries from external or internal sources with correspondence or other messaging on behalf of the executive.
  • Creates or directs creation of reports, charts, budgets and other presentation materials for the executive.
  • Coordinates high level projects, travel arrangements, and meetings. May plan and schedule work and direct other staff to deliver support.
  • Has a broad knowledge and understanding of the company's operations and business objectives.
  • Organize meetings, conferences, and calls.
  • Prepare expense reports and process credit card reconciliation.
  • Planning and arranging travel itineraries.
  • Schedule and organize senior leadership team meetings.
  • Assist in preparing meeting agendas, collating board packs, and distributing materials to board members. Coordinate logistics for board and committee meetings, ensuring that they run smoothly.


Recipe for Success:

  • Bachelor’s degree
  • 7+ years experience of C-level office administration
  • Must be proficient in MS Office (Word, Excel, PowerPoint and Outlook). Experience developing and editing PowerPoint presentations, basic excel spreadsheets, and meeting agendas and templates, drafting and handling sensitive documents required.
  • Positive, independent, self-motivated team player
  • Effective verbal and written communication skills
  • Ability to communicate clearly with a variety of stakeholders
  • Strong support and problem solving skills
  • Ability to prioritize tasks based on deadlines and business objectives
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Must have strong organizational and planning skills


In compliance with pay transparency requirements, the anticipated starting pay for new hires for this position is between $85k-$115k per year. Full-time employees are also eligible for performance-based bonuses and benefits. This is not a guarantee of compensation or salary, as a final offer amount may vary based on factors including but not limited to experience, education, and location.
