About The Role

We are looking for a responsible and resourceful executive assistant to join our team. You will be assisting an executive in daily scheduling needs, taking notes, and assisting the executive in any other facility. Duties may include organizing and updating files, answering emails, and managing communication through multiple channels. The ideal candidate should be tech-savvy, organized, and flexible to contribute in a variety of capacities as they arise. You will also be responsible for making travel arrangements and preparing expense reports. This is a full-time position and has the option of working in-house or hybrid.

Responsibilities

  • Manage the executive’s calendar as well as provide scheduling assistance for various internal departments, client, and marketing meetings.
  • Comprehend priorities of executive and studio at large in order to make scheduling decisions accordingly.
  • Act as the point of contact among executives, managers, administrators, staff, clients, and other external partners.
  • Maintain information flow in a timely and accurate manner.
  • Handle confidential employer and client information.
  • Take notes or transcribe meetings.
  • Present excellent customer-service skills to clients and external connections as well as to staff seeking assistance
  • Organize and update documentation.
  • Assist in maintaining relationships with past and potential clients, potential recruits, and other industry connections.
  • Arrange travel, including but not limited to research and vet transportation, lodging, and restaurant options.
  • Provide general administrative support.
  • Contribute to team efforts and perform additional tasks to support department goals as needed.

Requirements

  • Ability to effectively communicate in English.
  • High school diploma; Associate degree or above preferred.
  • At least 2 years previous experience handling assistant or administrative responsibilities, or experience in customer service or related field.
  • Self-directed and able to complete tasks and source information without supervision.
  • Excellent verbal and written communication skills.
  • Attention to detail and problem-solving skills.
  • Excellent time management skills and the ability to prioritize work.
  • Able to process and track large amounts of information and communication across multiple fronts.
  • Able to draw connections among intel from various areas, pinpointing opportunities for improvement and predicting issues before they arise.
  • Able to build relationships across departments and collaborate with staff across various levels of management.
  • Proficient computer skills, including word processing programs, spreadsheets, cloud services, and task-tracking tools.
  • Strong customer service and presentation skills.
  • Adaptable to a growing and changing work environment.
  • Open to working in a largely virtual environment, across a multitude of global time zones.
  • Experience as a virtual assistant is a plus.
  • Experience working with clients is a plus.
  • Experience working with Google Workspace, Slack, Productive, or Confluence is a plus.
