We are seeking an experienced and highly organized Executive Assistant to support our founder.


Position Overview

The Executive Assistant will be a pivotal member of our team, providing comprehensive administrative support to the founders and executive team. This role requires a proactive, detail-oriented, and highly professional individual capable of managing a diverse set of tasks in a fast-paced environment.


Key Responsibilities


  • Scheduling and Calendar Management:
  • Coordinate and manage daily, weekly, and monthly schedules for the founder.
  • Organize internal and external meetings, including preparation of agendas, meeting materials, and follow-up actions.
  • Handle all calendar conflicts and prioritize appointments based on business needs.


  • Daily Briefing(s):
  • Prepare daily briefings summarizing key information and updates, focusing on alternative assets, collectibles, and relevant data (such as auction house results, alternative asset newsletters, etc.).
  • Collect, analyze, and present data on market trends, notable sales, and upcoming auctions related to rare physical and collectible assets.
  • Ensure the executive team is well-informed and prepared for upcoming meetings and events with relevant data and information from prevailing news sources.


  • Personal Tasks:
  • Assist with personal tasks for the founder as needed, including managing personal schedules, appointments, and errands.
  • Handle all confidential information, tasks, and assignments with the utmost discretion and professionalism.


  • Expense Reports:
  • Process and manage expense reports for the founders and executive team.
  • Ensure accuracy and compliance with company policies and procedures.


  • Travel Coordination:
  • Arrange complex travel itineraries, including flights, accommodations, transportation, and travel-related logistics.
  • Prepare detailed travel plans and itineraries, ensuring all travel arrangements are efficient and cost-effective.


Qualifications

  • Bachelor's degree or equivalent experience.
  • Minimum of 3 years of experience as an Executive Assistant or in a similar role, preferably in the investment or finance industry.
  • Exceptional organizational and time-management skills.
  • Strong attention to detail and ability to multitask effectively.
  • Excellent communication and interpersonal skills.
  • Proficiency in Google Suite, Benefits Administration, Gusto, and similar tools.
  • High level of discretion and confidentiality.
