The Executive Assistant provides primary administrative support to the President. Responsibilities include but are not limited to: maintaining the President’s calendar and scheduling meetings; preparing documents; assisting with the development of presentation materials (including handouts and PowerPoint presentations); prioritizing the President’s mail; recording meeting minutes; and other administrative duties as required.

Reporting to the Chief of Staff, you will:

  • Analyze, prioritize and make decisions regarding requests for scheduled time and resources that require the attention of the President.
  • Provide a bridge for smooth communication between the President's office and internal departments; demonstrate leadership to maintain credibility, trust and support with senior staff.
  • Schedule both internal and external meetings and maintain effective communication with key staff members regarding schedule while proactively monitoring the need for follow-up meetings and initiates planning as appropriate.
  • Maintain awareness of all external and internal communications for the President and assist in the composition and editing of correspondence and a variety of other written materials; screen and prioritize the President’s telephone calls, mail and email.
  • Work in collaboration with the Chief of Staff to meet all other needs of the President.

Qualifications:

  • Bachelor’s degree in Social Services, Business, or Organizational Management (or related field) required.
  • Minimum of 3 years of experience in an administrative capacity. Experience supporting a high-level executive strongly preferred.
  • Proficient with computer applications.
  • A thorough and advanced understanding and experience with Microsoft Office and the ability to learn and master other computer technology and software programs as needed.
  • Exceptional interpersonal skills, with the ability to interact with the Board of Directors, senior staff leadership, donors, and other key internal and external stakeholders in a professional manner.
  • Ability to communicate effectively with diverse staff and external constituents, both in verbal and written communications.
  • Sensitivity to culturally diverse staff and population.
  • Ability to promote and maintain effective internal and external communication between divisions, offices, and staff.
  • Able to manage and protect confidential information in a professional manner.
  • Strong organizational skills with the ability to efficiently manage and prioritize multiple tasks and meet often competing deadlines in a fast- paced environment.

Base Annual Salary: $63,000 - $70,000

We believe that all employees should be paid fairly and equitably. As of the time of this posting, this is the expected base annual salary range. The base annual salary will be based on a wide range of factors, including skills, qualifications, experience, as well as business needs and limitations.
