Summary/Objective

Reporting directly to the Head of Property Management for a national Real Estate developer, the Executive Assistant works independently performing a wide range of complex and confidential administrative and clerical support duties. This role requires excellent communication and interpersonal skills and the ability to provide information and service to a wide range of internal and external contacts. Expected to build an extensive knowledge of the Southern Land Property Management policies and procedures. This is a great opportunity to play an important role in a real estate concern with a growing national footprint.

Essential Functions

  • Provides a wide range of complex office administration and support to the Head of Property management as well as others within the department.
  • Serves as principal administrative contact and liaison. Must have exemplary interpersonal skills, positive attitude and ability to work seamlessly with other departments and stakeholders, internal and external. Follow-through on action items is a must.
  • Develops, implements, and administers departmental office systems and procedures.
  • Reviews, assesses, routes, answers and monitors follow up action steps on correspondence.
  • Gathers and analyzes information required for administrative reporting.
  • Provides a wide range of support including keyboarding, composing, and editing letters, memoranda, reports, presentations, etc.
  • Uses multiple technical applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email, and other required applications.
  • Exercises sound judgment and tone when managing requests and inquiries internally and externally.
  • Manages complex calendars, arranges for meetings, appointments, and travel arrangements.
  • Prepare and submit expense reports and reimbursements and invoices in Travel Bank solutions system.
  • Consult with IT staff to arrange video conferences with regional leaders, teleconferences and manage catering arrangements.
  • Effectively manage  extremely busy calendars and ensure schedules are adhered to.
  • Proactively manage planning and coordinate internal and off-site executive meetings and hospitality for meetings, conference calls, recruiting interviews, and others as required.
  • Create and respond to written and verbal correspondence with high discretion and confidentiality.


Knowledge, Skills, and Abilities

  • “Roll your sleeves up” approach and ability to wear many hats in a unique environment
  • Customer service oriented
  • Proficiency in Microsoft Office Suite including intermediate knowledge of Excel and PowerPoint
  • Ability to keep sensitive information highly confidential
  • Excellent written and verbal communication skills
  • Strong interpersonal skills, and the ability to deal professionally with clients, vendors, and co-workers on the phone and in person
  • Excellent organizational and time management skills, ability to take initiative, use good judgment, demonstrate a strong sense of urgency and attention to detail, and carry multiple projects through to completion
  • Ability to work collaboratively in a team environment and independently, prioritize work and ask for further clarification when necessary
  • Ability to work under pressure with tight time constraints, as well as the ability to deal with frequent interruptions, unresolved situations, frequent change, delays, or unexpected events


Required Education and Experience

  • A college degree strongly preferred but 7 – 10 years of relevant, proven experience will be considered.
  • Real estate, or finance background preferred.
  • Deep knowledge and proficiency of Microsoft Office Suite is required.
  • Must be punctual, exhibit exceptional people skills and can work as part of a team.
  • Strong verbal and written skills required.

  • Notary Public
  • Yardi Voyager is a plus
