IntePros is hiring an Executive Assistant for our premier healthcare client! Our client is seeking a seasoned Executive Assistant who is intuitive, innovative, and excels in problem-solving. The ideal candidate must have academia of the physicians, including developing and maintaining curriculum vitae’s in PENN’s database system and this requires a collegial mindset/research mindset. They are also responsible for budgeting and finance of their physicians’ annual budgets, expenditures, and grant funding.
This role will support multiple leaders and manage various projects, including:
Complex scheduling
Expense reports
Arranging travel
Managing projects
Conducting data analysis
Driving quality improvement initiatives
Preparing research assistants
Preparing leaders for presentations
Key Skills and Requirements:
Advanced computer skills
Proficiency in Office 365, including Excel
Navigation of SharePoint and Microsoft Teams
Advanced Teams skills (e.g., setting up breakout rooms during meetings)
Expertise in Power BI (Business Intelligence)
Ability to write queries for data analysis
Strong independent thinking skills
Ability to problem-solve using provided resources before seeking assistance
Initiative to find information independently
Essential Functions:
Maintain schedules/calendars for leaders, including coordination of travel and managing multiple daily changes
Extensive interface with organizational leaders and their assistants
Plan meetings including securing rooms and occasionally ordering food
Create and provide materials for meeting agendas
Provide support in preparing presentations and documents required by executives and staff
Complete expense reports for travel and miscellaneous expenses, maintaining detailed records and interfacing with internal accounting staff and external vendors
Perform general administrative support duties, including phones, mail, email, and other correspondences, and communication with department faculty, directors, and hospital management
General problem solving and project work
