Executive Assistant
Required Skills & Experience
- 10 years of experience in an administrative role reporting directly to c-suite executives, preferably in startup environments
- Experience managing a very active calendar, completing expense reports, preparing for board meetings and coordinating detailed travel plans & itineraries
- Exceptional interpersonal skills and the ability to communicate directly on behalf of the CEO with board members, executives and external partners
- Highly resourceful with the proven ability to handle confidential information with discretion, adaptability to various demands, and ability to be extremely effective independently
- Ability to effectively manage competing priorities, addressing urgent matters promptly and proactively, ensuring successful project completion even under deadline pressures
Job Description
A payment processing client of Insight Global is seeking an Executive Assistant to support their c-suite. The ideal candidate will be a proactive problem solver with strong communication skills and meticulous attention to details. This person should have experience supporting executives and CEOs in fast-paced environments, start-up experience would be ideal. In response to the dynamic nature of the executive landscape, this person must remain adaptable and reliable while safeguarding the confidentiality of both business and personal details.
Primary Responsibilities:
Oversee Professional and Personal Scheduling for the CEO: This includes managing agendas, emails, phone calls, client interactions, and other company logistics.
- Coordinate Complex Scheduling and Calendar Management: Ensure seamless information flow to senior executives.
- Handle Senior Executives’ Travel Logistics: Arrange accommodations, transportation, and meals.
- Provide Comprehensive Administrative Support: Tasks include typing, dictation, spreadsheet creation, faxing, and maintaining filing systems and contact databases.
- Maintain Utmost Professionalism and Confidentiality: Handle materials with discretion.
- Organize Team Communications and Off-Site Events: Foster effective internal communication and plan events.
Compensation:
$130,000 - $150,000/year
Exact compensation may vary based on several factors, including skills, experience, and education.
Benefit packages for this role will start on the 31st day of employment and include medical, dental, and vision insurance, as well as HSA, FSA, and DCFSA account options, and 401k retirement account access with employer matching. Employees in this role are also entitled to paid sick leave and/or other paid time off as provided by applicable law.
