Base pay range

$41.00/hr - $45.00/hr
Responsibilities

  • Manage and coordinate busy calendars for senior executives, ensuring efficient time management and adherence to their goals and commitments.
  • Arrange comprehensive travel itineraries including flights, accommodations, and conference logistics for both individual and group travels.
  • Support relocation logistics for senior staff as needed.
  • Prepare materials and documentation for meetings, ensuring executives are well-prepared and informed.
  • Handle confidential and sensitive information with the utmost discretion, involving contracts, consultant agreements, and internal personnel matters.
  • Facilitate communication and meetings with both internal departments and external organizations, enhancing collaboration and coordination.
  • Manage administrative procedures and create tracking systems to maintain organized and accessible electronic and paper files.
  • Support financial administration tasks including handling expense reports for senior team members.
  • Engage with various stakeholders, maintaining professional and courteous interactions.
  • Contribute to organizational diversity, equity, and inclusion goals, ensuring an inclusive environment that reflects our values.

Qualifications

  • Bachelor’s degree with at least 4 years of relevant executive support experience.
  • Outstanding organizational skills and attention to detail.
  • Strong proficiency in Microsoft Office applications and comfortable with budget interpretation.
  • Excellent verbal and written communication skills, capable of conducting research and utilizing diverse resources.
  • Proven ability to manage relationships across diverse groups, displaying cultural competency and inclusivity.
  • High level of professionalism and ability to work autonomously under pressure, managing multiple priorities in a fast-paced environment.
  • Experience in international travel logistics and supporting large-scale events or conferences preferred.
