Geoff McDonald & Associates

To work on tasks and projects as determined by the CEO with attention to detail and confidentiality. The EA will schedule both professional and personal meetings in a timely and efficient manner. This role requires professionalism, flexibility, and the ability to remain calm under pressure. The EA will be a self-starter and demonstrate quick problem-solving abilities. The mission of the EA is to KEEP THE CEO ON SCHEDULE AND TO HELP ALIGN DAILY TASKS WITH STRATEGIC OBJECTIVES OF THE FIRM.

Outcomes:

  • Maintain the CEO’s calendar (Business and Personal) and make sure he is on time for meetings.
    • Block sufficient time between meetings.
    • Provide reminders through text, email, and prioritize meetings with attorneys and other key staff.
    • Allow for travel between appointments and anticipated potential conflicts.
    • Maintain confidentiality
    • Respond to texts outside business hours.
  • Attend meetings with the CEO and take notes related to the topic and action items.
    • Summarize the meeting and email the CEO and other attendees.
    • Keep track of calendar changes.
  • Generate key reports from Smart Advocate and Accounting software used by the CEO for Attorney 1-1 meetings.
  • Order and schedule deliveries of items as needed by the CEO.
  • Coordinate and book travel for the CEO and family members. Maintain multiple airline accounts and travel apps.
  • Keep the CEO up to date with VSB requirements and CLEs.
  • Communicate (written, verbal, and text) on behalf of the CEO with clients, friends, and family members.
  • Be a jack-of-all-trades for any problem that arises!

Honesty/ Integrity- An EA represents the CEO both in and outside of the office. It’s imperative that they maintain high ethical standards.

Organization and planning- An EA plans, organizes, schedules, and budgets in an efficient, productive manner. Focusing on key priorities.

Intelligence- An EA must learn quickly by demonstrating how to think critically and absorb new information.

Proactivity- An EA must act without being told what to do. She must anticipate problems and plan for successful outcomes.

Calmness under pressure- An EA must maintain a level of stability under pressure or changing demands. They must roll with the punches.

High standards- Since an EA is working closely with the CEO, they must demonstrate high standards in the work tasks that are being completed.

Communication- An EA should speak and write clearly and articulately in all forms of written language.

Flexibility- An EA needs to adjust quickly to changing priorities and conditions.

Teamwork- An EA needs to be able to seek assistance from co-workers and cooperate with all members of the team.

Openness to criticism- An EA needs to be able to solicit feedback and react calmly to criticism or negative feedback.

GMA Core Values- As an extension of the CEO, an EA needs to exemplify the GMA core values; shoot straight and help others.
