EXECUTIVE ASSISTANT TO TWO MANAGING PARTNERS
Our client is seeking a full-time, exceptional individual to assist two busy Senior Partners with daily operations. This role is ideal for an organized professional with outstanding administrative/assistant skills looking for a stable, long-term position with a small firm.
The ideal candidate: Professional with a positive work ethic. Loves providing high-level service to attorneys, c-levels, staff, and clients. Patient and able to multi-task and prioritize. Extremely detail-oriented, a self-starter, and able to work with minimal supervision. Team player with flexibility and ability to handle multiple tasks and deadlines in a fast-paced environment.
About Our Client: They are a Real Estate Law Firm specializing in transactional, land use, and zoning services. Their top priority is providing clients with high-quality service and representation. Responsibilities: Administrative support to Partners. First line of communication with clients, contractors, city/county officials. Monitor and coordinate calendars, schedule meetings. Answer and direct phone calls. Maintain daily contact lists. Prepare attorney for meetings/hearings. Daily file management. Prepare basic legal documents and correspondence. New matter intake, including fee letter, client authorization, and document processing. Maintain lobbyist registration and meeting logs. Process political contribution requests. Input time entries, prepare pre-bills, and send invoices. Follow-up on delinquencies.
Qualifications: 5+ years of legal assistant experience, preferably with a Partner or C-level Physical attendance in the office 5 days a week is required Experience in zoning and land use transactions is a plus Resourceful, able to address issues and requests independently Maintains confidentiality Excellent organizational, time management, and planning skills Strong multi-tasking and prioritization abilities Detail-oriented and problem-solving skills Excellent written and verbal communication skills Proficient in MS Office and Microsoft Word; PC Law is a plus Able to work independently and as part of a team
