NOTE: This role requires experience working with a single executive, not multiple. Any executive assistant experience where a candidate assisted multiple executives will not be considered.
Job Description:
We are seeking a detail-oriented and proactive Executive Assistant to support our leadership team. The ideal candidate will excel in managing complex calendars, coordinating events and meetings, handling travel arrangements, and assisting with various administrative tasks. This role requires strong organizational skills, excellent communication abilities, and the capability to prioritize tasks effectively.
Key Responsibilities:
- Calendaring:
- Assist in scheduling meetings, adjusting schedules, and sending invites.
- Coordinate with other assistants to find suitable meeting times for senior leaders.
- Resolve scheduling conflicts promptly and efficiently.
- Event/Meeting Planning:
- Support in planning events, group meetings, offsites, etc.
- Collaborate with senior leadership to organize meeting logistics, including travel arrangements, transportation, catering, presentations, and schedules.
- Arrange catering orders and set up conference rooms with necessary audio-visual equipment.
- Organize welcome lunches, breakfasts, and other meetings as required.
- Expense Management:
- Track and manage expenses using corporate credit cards.
- Prepare and submit expense reports, ensuring accuracy and timeliness.
- Maintain records of corporate card fees and other related expenses.
- Special Projects and Administrative Support:
- Assist in document review, editing, and signature applications.
- Format and edit PowerPoint presentations.
- Provide support during urgent technical issues, including calendar management and IT coordination.
Qualifications:
- Proven experience as an Executive Assistant or similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Ability to multitask and prioritize tasks effectively.
Additional Requirements:
- Familiarity with expense management tools like OKTA and Concur is preferred.
- Availability to handle occasional after-hours events or urgent issues.
- Bachelor’s degree or equivalent experience preferred.
