The Event Project Manager - Women’s Engagement will be responsible for organizing and coordinating our brand’s participation in the following women-focused events:
Grace Hopper Conference
Women of Color STEM
Society of Women Engineers
The goal is to maximize our visibility and engagement at these conferences, fostering connections and promoting the company's initiatives related to diversity and inclusion.
Key Responsibilities:
Planning and Coordination
Develop a detailed participation plan and timeline tailored to each event, including goals and objectives, speakerships & activations, and participant overview.
Coordinate planning calls, take notes, and ensure action is taken with EP DRI.
Partner with EP Manager and Operations on the event budget allocated for the conference, ensuring cost-effectiveness.
Obtain necessary approvals for company-related activities (PR, Corp Identity, etc).
Marketing and Promotion
Develop and execute a marketing plan to promote brand’s participation.
Coordinate with the marketing team for promotional materials and campaigns specific to the conference.
Manage event-specific registration and attendee communications.
Logistics and Operations
Arrange transportation and accommodation for our speakers and VIPs.
Coordinate the schedule and activities for the team during the conference.
Ensure the availability of necessary materials and equipment.
On-site Management (Remotely)
Partner with EP DRI to ensure staff and volunteers are well-informed and prepared.
Remotely address and resolve any issues or emergencies during the conference; maintain Slack channel.
Post-event Activities
Conduct a post-event evaluation and debrief with the planning team, collecting feedback.
Ensure all outstanding payments and follow-ups are completed promptly.
Deliver final report on the event, including an overview, activation ROI, metrics, budget actuals, and participant survey results.
Deliverables:
Detailed participation plan and timeline.
Budget report with regular updates.
Marketing plan specific to the conference.
Schedule and program for the team.
Post-event report and evaluation.
Performance Metrics:
Adherence to budget and timeline.
Successful execution of the participation plan.
Expectations:
Strong organizational and multitasking skills.
Ability to work independently and manage multiple projects simultaneously.
Excellent communication and interpersonal skills.
Proficiency in project management software and tools.
Experience in event planning and coordination, preferably in a corporate setting.
