Events Manager

General Summary Of Responsibilities

Big Brothers Big Sisters if seeking a dynamic event manager who thrives on creating and delivering extraordinary events and experiences for external stakeholders. Candidate will be responsible for the logistical execution of events, as well as sponsorship sales, budget management auction and raffle procurement and upholding the integrity of events.

Responsibilities:

  • Manage and oversee event logistics for BBBS signature events, large-scale impact activities and donor receptions inclusive of production, run of show, A/V, decor, vendor management and logistics
  • Secure event sponsorships and brand activations with a goal of $250,000
  • Develop and executive the entirety of logistics leading up to, during and post events
  • Coordinate with external entities such as event chairs, committees, vendors, hosts, suppliers and sponsors to guarantee high-quality and timely event deliverables
  • Efficiently manage concurrent projects
  • Oversee on-site event management including coordination with vendors, addressing last-minute logistical requirements and ensuring smooth event setup, execution and take down with ability to provide real-time guidance and adjustments as necessary
  • Conduct and lead regular meetings with key stakeholders including marketing, event planning team, BBBS leadership, event chairs and brand sponsors
  • Work closely with the Marketing team on the development of a strategic promotion plan including the awareness and sales of events
  • Work alongside VP of Development in managing event co-chairs and committees
  • Develop relationships to secure in-kind sponsorships and partnerships
  • Execute the procurement of auction and raffle items inclusive of solicitation, collecting, cataloguing and promoting items. Where applicable, manage event auction committee.
  • Manage staff to their onsite assignments and ensure job assignments are being effectively executed
  • Manage, develop and adhere to event budgets, tracking revenue and expenses against goals

Credentialing Requirements:

  • minimum of three-years of event planning and execution with a focus on luncheons, golf tournaments, galas, and social events
  • Proven track record of delivering high-quality events
  • An entrepreneurial sport ready to take initiative and adapt in a fast-paced setting
  • Experience in building relationships and influencing diverse stakeholder groups
  • A proactive, motivated self-starter with sound judgement
  • Proven creativity in designing events and experiences tailored towards BBBS objectives
  • Familiarity with event fundraising, committee management, in-kind requests and management of an auction
  • Excellent communication skills, both written and verbal

Salary Range: 56k-75k

Background Clearance

BBBS of Miami, mandatory complete FDLE background clearance on all employees pre-employment and tri-annually thereafter.
