Reports To: Director of Learning Innovation and Design

Position Summary

We are seeking an enthusiastic and detail-oriented Events Coordinator to join our dynamic team. In this role, you will thrive in a collaborative, co-creation culture that is dedicated to addressing systemic oppression, promoting racial and health equity, and empowering Black and Latino/a/x/e youth.

As an Events Coordinator, you will be responsible for project managing and supporting all organizational events and engagements. Your primary responsibilities will include planning, coordinating day-of-event activities, serving as the operational liaison, and managing event data.

Responsibilities

Project Coordination & Logistics:

  • Coordinate, project manage, and serve as the operational liaison for programs and events, including learning engagements (both youth & adult), training, workshops, events, and convenings.
  • Manage all logistical aspects of events, such as venue selection, vendor coordination, catering, audio-visual setup, and transportation.
  • Collaborate with cross-functional teams to define program objectives, content, and event formats that align with organizational goals.
  • Manage event platform(s), including the organization's Events Page & Convertkit event listings.
  • Coordinate program and event workflow for all engagements, including attendee registration tracking, email communication, pre-work survey data tracking, and event registration flow.
  • Oversee and support the program and event calendar, ensuring alignment and confirmation with presenters, marketing and communications, and other teams across the organization.
  • Serve as the point of contact for day-of-event activities, including liaising with vendors, attendees, and presenters, setting up spaces (virtually or in-person), coordinating handouts or materials, and communicating with participants for day-of support access and logistics.
  • Monitor and evaluate program and event effectiveness, gather feedback, and identify areas for improvement.
  • Handle pre- and post-event activities, including data analysis, report generation, and documentation of lessons learned for future events.
  • Create and update a dashboard with logistics for all upcoming events and provide weekly updates to management.

Vendor & Sponsorship Management

  • Source and negotiate with vendors and suppliers, including securing contracts and managing vendor payments.
  • Negotiate sponsorship deals & manage documentation, contracts, and Memoranda of Understanding (MOUs) as needed.
  • Supervise event staff, volunteers, and contractors to ensure roles and responsibilities are clear and tasks are executed effectively.

Data Management & Evaluation

  • Manage data related to engagements and events, such as participants, registrations, attendance, and pre, during & post surveys.
  • Collaborate with staff members to regularly report on organizational outcomes and impact across departments to staff, community members, and grant funders (both current and prospective).
  • Manage the collection and organization of external impact stories (including case studies) to support the demonstration of real-life examples of Equity-Centered Community Design™ and other organizational frameworks and models.

Please note that this position requires evening/weekend availability and travel to events as needed (up to 20% travel expected). Additional duties may be assigned as required.

Qualifications

  • Bachelor's degree from an accredited four-year college or university and/or at least 2 years of related experience in event management, operations, or project management.
  • Two years of supervisory and/or project management experience, minimum (non-traditional settings acceptable).
  • Experience in planning, managing, and executing a variety of programs and events.
  • Project management skills with the ability to handle multiple projects simultaneously.
  • Experience and ability to manage multiple projects independently and within a team, including scoping projects with appropriate deadlines, assigning tasks, and keeping up-to-date with priorities and communication.
  • Ability and willingness to continuously and critically examine one's relationship to power, privilege, oppression, history, and healing.
  • Experience using Google Suite products (Gmail, Docs, Sheets, Slides, Forms).
  • Experience with any of the following products and platforms is a plus: Zoom, Basecamp, Mighty Networks, MURAL, Copper (CRM), Adobe Creative Suite, SurveyMonkey, Facebook, Twitter, and Instagram.
  • Must be able to pass a background check.
