Position Description

The Museum seeks an enthusiastic, personable, and process-minded individual to join our Events department! Since 1885, the National Building Museum has been the stage for Washington D.C.’s most elegant events, from nonprofit fundraisers to Presidential Inaugural celebrations! The Events Coordinator will professionally and diligently handle incoming booking inquiries, coordinate site visits, process agreements for private events and group sales, and assist in planning and organizing internally-run events. Ideally, this individual will have a strong sense of urgency and prioritization, genuinely enjoy a highly people-focused role, and be flexible enough to manage a multi-faceted role within our organization.

This full-time exempt position reports to the Director of Events and works extensively with outside groups, museum visitors, and internal partners. As a member of the Operations and Strategy department, this position supports stakeholders and partners across the Museum. The Events Coordinator embodies the values of the Museum and is a leader in building an inclusive and equitable environment for colleagues and visitors.

Essential Duties And Responsibilities

  • Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests.
  • Maintain accurate and up-to-date records of leads and bookings.
  • Maintain detailed knowledge of our event spaces, limitations, and Museum operations to answer questions for external and internal clients.
  • Prepare agreements for all booked activities and ensure timely completion both internally and externally.
  • Process deposits and payments accurately and according to Finance requirements.
  • Provide guidance and support to Museum departments in planning, communicating, and utilizing event and meeting space for partner and internal events.
  • Welcome and acknowledge all guests according to Museum standards: anticipate and address guests’ service needs.
  • Coordinate arrivals, deliveries, and load-in/load-out schedules in partnership with the Director of Events.
  • Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette.
  • Develop and maintain positive working relationships with others; support team to reach common goals; listen to concerns and respond appropriately.
  • Other duties as assigned.
  • Associate degree or higher.
  • Experience with Event coordination preferred.
  • Strong interpersonal skills (Written and oral).
  • Skilled in Microsoft Word, Excel, SharePoint, and One Drive.
  • Excellent organizational skills, including multitasking, time management and meticulous attention to detail.
  • Ability to manage and organize a high volume of inquiries via email or phone.
  • Strong customer services skills and a love for working with people is essential to this role.
  • Ability to maintain confidentiality and privacy of sensitive information.
  • Commitment to the mission of the National Building Museum.
  • Monday to Friday position, but the candidate must be available to work evenings and weekends as needed.
