We're a dynamic agency that believes in creating authentic and meaningful human-to-human connections through live events. We're looking for a passionate Event Producer to join our team and help bring unforgettable experiences to life for our corporate clients.

Position Overview

As an Event Producer, you'll report to a Senior Event Producer and collaborate closely with team members across all levels of our agency. Your primary responsibility will be supporting a variety of corporate clients, focusing on high-level design, detailed contract negotiation, logistics management, custom fabrication, entertainment coordination, and event production elements.

Key Responsibilities

  • Event Planning and Execution
  • Participate in initial ideation and strategic discussions for assigned projects
  • Lead or contribute to regular client-facing meetings
  • Create detailed budget documents using MS Excel
  • Source and vet potential vendors, destinations, and hotels
  • Develop visuals to support event proposals and execution (decks, floor plans, renderings)
  • Manage project-related tasks using internal software
  • Handle contract execution, purchase orders, and payments for approved event materials
  • Oversee registration systems and manage reporting for various event aspects
  • Hire and train on-site event management teams as needed
  • Create and manage organizational documents, production schedules, and run-of-show timelines
  • Lead pre-event meetings, staff training sessions, and post-event debriefs
  • On-Site Management
  • Manage internal and external teams during events
  • Set up on-site workspaces and offices
  • Prepare and implement emergency plans and event staff manuals
  • Conduct appropriate pre-event training
  • Budget and Financial Management
  • Maintain cost control and profitability for assigned projects
  • Submit required accounting paperwork and conduct post-event reconciliations
  • Industry Engagement
  • Maintain a network of supplier partners
  • Actively participate in industry networking and relationship-building opportunities
  • Stay current with event industry trends and best practices
  • Team Collaboration
  • Work closely with other agency teams to ensure flawless execution of projects
  • Manage or supervise Event Coordinators as needed
  • Shadow and learn from Senior Event Producers

Qualifications

  • Bachelor's degree in Marketing, Events, PR, or equivalent experience
  • 3+ years of experience in event planning, meeting planning, or experiential marketing
  • 3+ years of experience in budget creation
  • Intermediate level or higher proficiency with MS Excel
  • Valid US driver's license and passport
  • Ability to work full-time in a remote office setting
  • Willingness to travel domestically and internationally (up to 30% of the year)

Preferred Skills And Experience

  • Experience with event décor and scenic fabrication
  • Knowledge of entertainment and event production
  • Familiarity with online meeting systems (Zoom preferred)
  • CSEP, CMP, or other related certification
  • Cvent certification or in-depth experience using the software

Physical Requirements

  • Ability to walk, stand, sit, and use a computer for extended periods
  • Capacity to stand for up to 3 hours at a time
  • Ability to lift and move up to 25 pounds
  • Access to reliable transportation and a suitable remote office work environment
