We are looking for a seasoned Escrow Manager and Sales Transaction Coordinator to ensure the smooth and efficient processing of our home sales transactions.

Job Description:

The Escrow Manager/ DRE & Closing Coordinator is a critical role within our sales department, responsible for overseeing all aspects of the escrow process for new home sales, from contract to closing. This role demands a high level of precision, organization, and communication to effectively manage sales transactions, coordinate with various stakeholders, and ensure a seamless experience for our buyers.

Responsibilities:

Escrow Management:

·        Oversee the entire escrow process, ensuring compliance with all legal and regulatory requirements.

·        Coordinate with buyers, sellers, real estate agents, lenders, and title companies to ensure all conditions of the sale are met.

·        Manage and review all closing documents, including purchase agreements, and title and escrow documents.

·        Schedule and coordinate closing dates

·        Maintain detailed records of all transactions and communicate progress to all parties involved.

·        Ensure the accuracy of backlog details and promptly address any discrepancies.

·        Identify and communicate potential closing and backlog risks.

·        Provide prompt and professional responses to all parties in the transaction.

·        Oversee the closing process by coordinating with various departments, including sales, accounting, purchasing, construction, lender, and title companies.

·        Maintain and distribute daily, weekly, and monthly escrow reporting activities, and prepare closing reports for approved third party entities, as required.

·        Review, verify, and approve sales commissions, reporting, and sales terms, including price, incentives, homebuyers, and lender information to ensure accuracy and compliance.

·        Review and approve contracts and documents and accurately input escrow information into the lot files and online systems.

·        Ensure accurate reconciliation of deposits.

·        Create and distribute final purchase price addendums.

·        Maintain the problem log for contracts with discrepancies.

·        Assist buyers with mortgage loans and work closely with the title company to schedule closing and resolve issues to facilitate closing.

Closing Coordination:

·        Verify the accuracy and completeness of all contracts and change orders submitted and keep all files organized in the system.

·        Coordinate with the accounting department to ensure timely and accurate commission calculations and payments.

·        Assist with the preparation of weekly sales reports.

·        Communicate with and assist buyers regarding all aspects related to the closing of their new home. Answer questions and solve problems for the buyer through communication with other departments.

·        Coordinate with Construction and Sales departments the scheduling of all requirements for a timely walk and close.

·        Ensure that projections for the required number of closings are consistently met according to the project's established goals.

·        Assist in resolving any issues that arise promptly during the transaction process to ensure a positive buying experience.

Qualifications:

·        High school diploma, or equivalent, college degree preferred.

·        Three (3) to five (5) years of Department of Real Estate processing experience with builder or Title Company

·        In-depth understanding of the real estate sales and escrow process, including legal requirements and best practices.

·        Strong organizational and project management skills, with the ability to manage multiple transactions simultaneously.

·        Proficient in real estate software and Microsoft Office Suite.
