Summary/Objective
The Entertainment Rehearsal Stage Management Supervisor oversees recruiting, scheduling, training, onboarding, and daily functions of all Stage Management contractors in Orlando and the day-to-day flow and function of rehearsal rooms. This role is a close partner with the Senior Traveling Production Stage Manager to ensure the rehearsal operations resources, paperwork, and performance materials are always up to date with the shipboard operation - and ensuring a seamless pass off from land rehearsals to onboard handovers and installs.

The Entertainment Rehearsal Stage Management Supervisor oversees recruiting, scheduling, training, onboarding, and daily functions of all Stage Management contractors in Orlando and the day-to-day flow and function of rehearsal rooms. This role is a close partner with the Senior Traveling Production Stage Manager to ensure the rehearsal operations resources, paperwork, and performance materials are always up to date with the shipboard operation - and ensuring a seamless pass off from land rehearsals to onboard handovers and installs.
Essential Responsibilities
Operational Oversight of the Rehearsal Stage Management Team:
- Oversee the staffing, recruiting, and management of temporary Rehearsal Production Stage Managers
- Contracting, scheduling, and facilitating invoicing / payments for Rehearsal Production Stage Managers
- Provide training and onboarding of Rehearsal Production Stage Managers
- When not overseeing a dedicated Production, shadow and support the temporary Rehearsal Production Stage Managers with their assignments
- Serve as emergency substitute Rehearsal Production Stage Manager in event of an absence
- Assist in general safety duties
- Taking rental vehicles for cast and creative partners for refueling, and completing and reconciling those expenses
- Serves as primary Rehearsal Production Stage Manager for various productions throughout the year
- Lead show rehearsals, technical rehearsals and put ins as needed
- Develops rehearsal schedule in conjunction with each show’s creative team, and confirms studio room availability
- Creates and sends daily call sheets to cast, crew and contractors every evening before the next day’s rehearsal
- Creates and disseminates daily rehearsal report to all teams
- Learns and manages QLab, and/or audio playback during rehearsals
- Maintains the artistic integrity of each production as originally set by the creative team
- Ensure flow and timing of rehearsal is met and includes breaks for cast, crew and contractors
- Work closely with creative and installation teams to ensure all needs are met
- In partnership with Sr. Traveling Production Stage Manager, ensuring rehearsal bibles, calling scripts, documentation are maintained and updated to reflect the onboard operations
- Document rehearsal room plots, tape plans, table, chair & power requests/ needs
- Build out master rehearsal schedule templates
- In conjunction with the Manager, Entertainment Facility & Rehearsal Operation, create a plan for facility space and studio room usage by each production team and identify opportunities for external rentals
- Lead cast welcome and onboarding sessions with Manager, Entertainment Facility & Rehearsal Operations, providing an introduction to casts to Virgin Voyages Rehearsal SOPs and expectations
- Attends each Cast’s Meet & Greet along with Manager, Entertainment Facility & Rehearsal Operations
- Attends weekly shipboard / shoreside Production Stage Management calls to understand the evolution of our shows onboard and apply changes in rehearsals
- Serve as backup for Virgin Voyages’ onboard Production Stage Management Teams - to relieve vacations, illness, or unexpected absences
- Facilitate deliveries of items from studio supply to shipboard supply (costume pieces, small consumables, etc.) and shipboard back to the studio
- Serve as main point of contact for rehearsal technical needs, including troubleshooting of sound / AV equipment, rigging and circus equipment, props and prop repair, and all other technical items required to facilitate a rehearsal process
- Partner with appropriate shoreside teammates and contractors to support technical troubleshooting, and oversee ordering of supplies / parts / replacement technical items for the Rehearsal Facility
- Set and strike rehearsal studios for each cast changeover
- Assist the Manager, Entertainment Facility & Rehearsal Operations in maintaining a scheduling system for Shoreside rehearsals and studio use
- Help coordinate facility needs during the rehearsal process, such as ordering / replenishing consumables, setting up tables and chairs, and light cleaning and organization as needed
- Support the Manager, Entertainment Facility & Rehearsal Operations in the daily operation of the rehearsal facility as needed
- Partner closely with the Specialist, Entertainment Operations & Procurement on the ordering, receiving, inventorying, palletizing, and shipping of supplies and consumables to support both the Shoreside and Shipboard operations of the fleet
- Maintain updated documentation of all applicable duties and make accessible to Entertainment team
- All other duties as assigned
- Minimum 5 years experience in a professional stage management capacity
- Strong understanding of theatrical paperwork, scheduling, and documentation
- A self-starter, who can roll up their sleeves and make ship happen with little supervision. In our start-up world, we rely on our crew having an entrepreneurial attitude with an ability to move mountains without relying on others to do the heavy lifting
- Knowledge and experience in using key business tools (Google Apps, Word, Excel, PPT, etc.)
- Persuasive communication skills - English language proficiency is essential but other languages are a plus
- Resilience for changing priorities and strong influencing skills
- Rock-solid coordination and administrative skills
- Highly organized and proactive
- Work well under tight deadlines and with crew members from all over the world
- Thrive on working with a group of fellow all-star crew, while being yourself

- Willingness & ability to travel as needed up to 25%
