Position Summary

Primary duties include management and execution of day-to-day educational and administrative functions in the Annex; coordinating between the Education Manager (16 Jones) and staff; secondary administration of the GHP’s use of agency communication tools and, participation in coordinating all events at the Annex (GHP/Chelsea).

Primary Responsibilities

Reception & Communication

  • Performs and oversees all duties within GHP Chelsea at the reception desk
  • Provides consistency in office communication with staff, students and clients by being the first point of contact for all phone and web inquiries, resolves complaints or concerns.
  • Maintains location’s databases for email and mailing. Contributes to and disseminates weekly studio updates (Pottery Notes) and Pottery-wide emails.
  • Understand, communicate and enforce studio policies and procedures.
  • Maintain correct signage in designated locations throughout the building.
  • Promotes GHP/Chelsea through daily and weekly social media posts.

Education

  • In conjunction with Education Manager will develop the schedules for all adult pottery classes.
  • Manages online registration system, learns system updates, troubleshoots problems as they arise, disseminates information regarding changes to, and instructs the use of software to liaison staff.
  • Monitors class waiting lists and roster changes.
  • Communicates with faculty, and liaises between students and faculty.
  • Updates and maintains iPads, prepares and maintains firing credit accounts, and backups.
  • Generates online sales reports for toolkit presales and firing credit purchases.
  • Assists with website maintenance and studio signage, fliers, etc.

Supervision & Administration

  • Contributes to hiring process for studio assistants
    • Ensures studio staff is trained, supervised and has been informed of all studio news and information.
    • Manages reception office operations, office staffing and schedules. Assists with and completes special administrative projects as assigned such as proofreading, graphic design, etc.
    • Attends meetings and all functions of the Pottery during and if necessary outside regularly scheduled hours.
  • Coordinates with other departments. Generates reports for the Program Director and requested administrative departments.
  • Performs other tasks and special projects as assigned by direct supervisor.
Qualifications

  • BA or BFA
  • Minimum of two years full-time related professional non-profit arts administration experience.
  • Exceptional customer service skills, ability to interact with a diverse student body, faculty and all levels of staff. Friendly and respectful demeanor with students and visitors.
  • Basic knowledge of and/or interest in ceramics.
  • Excellent oral and written communication and problem-solving skills.
  • Knowledge and proficiency in business computer platforms and programs including social media. Familiarity with Sawyer, the Adobe Suite, and/or Shopify platforms a plus.
  • A self-starter who is able to establish priorities when presented with multiple tasks, to modify plans and behavior when necessary to meet a goal and to work well with limited supervision.
  • Must be able to lift 50 pounds for occasional studio related assistance, or event preparation.

Organizational Relationships

The successful candidate interacts with all levels of personnel, customers and clients of Greenwich House and maintains cordial business relationships with the agency’s other programs.
