Editorial Assistant

This position supports all aspects of editorial, production, and quality control processes for JNCCN, supplements, Highlights publications, and other print and electronic projects as needed. Prepares and sends correspondence, assists with functions such as peer review, proof completion, and tracking, and performs administrative tasks as needed. Also performs formatting and proofreading of material submitted to JNCCN.


MAJOR RESPONSIBILITIES:

  • Corresponds with issue editors and authors, including invitations and follow up correspondence
  • Helps facilitate the peer review process for both solicited and unsolicited manuscripts, including:
  • With other staff invites and follows up with reviewers; blinds manuscripts and sends to reviewers
  • Collates blinded reviewer comments and provides to authors
  • Follows up with authors for revisions
  • Assists in processing page proofs, including
  • Performs proofreading as needed
  • Follows up with authors for corrections, copyright, and conflict of interest forms
  • Inputs corrections into PDF files and sends to production house
  • Assists with posting annual abstracts to JNCCN.org
  • Assists with Highlights publications as needed, including obtaining supplementary materials from authors
  • Assists with scheduling and providing background materials for meetings and teleconferences as needed
  • Prepares author mailing list for each issue for printer
  • Assists other JNCCN staff with journal planning as needed, including editorial calendars and production schedules
  • Fields web-generated requests, such as providing sample copies of JNCCN, editorial calendars, and author instructions, as needed
  • Assists with monitoring JNCCN.com mailbox, handling or forwarding materials as necessary
  • Performs other duties as required


EDUCATION/RELATED EXPERIENCE:

  • Bachelor’s degree in English, Journalism, or Communications; 2-3 years communications/administrative experience; or equivalent combination of education and work experience
  • Experience with Oncology terminology a plus
  • Knowledge of AMA editorial style a plus


SKILLS AND ABILITIES:

  • Understanding of English and grammar rules
  • Absolute attention to detail
  • Organizational ability to manage multiple tasks and priorities simultaneously
  • Strong communications, writing, and proofreading skills required
  • General computer literacy including proficiency with MS Office applications and Adobe PDFs
  • Strong interpersonal communication skills and the ability to interact effectively with internal and external staff, managers, and physicians at various levels
  • Ability to coordinate input and efforts from various contributors
  • Understanding of publications and production processes a plus
