Behavioral Health Administration (BHA) is seeking an Administrative Assistant 3 to join their team in Lakewood, WA. The Administrative Assistant 3 will be the principal assistant to the Program Director for the Steilacoom Competency Restoration Program (SCRP), a Residential Treatment Facility (RTF).

This position has delegated responsibility to assign, schedule, coordinate, and

ensure completion of confidential administrative and operational matters. To be successful in this role, you must have exceptional independent judgment, strong decision making and problem-solving skills, and the ability to multi-task while dealing with complex interactions between BHA and the judicial system and other stakeholders.

Pierce County employees are eligible to receive an Orca Card for transportation needs.

Opportunities performed on - site at this work location at least three days a week may be eligible for an additional 5% premium pay in addition to the advertised salary.

Some Of What You'll Do

  • Prepare official communications and documents for the SCRP Program Director to include memos, charts, spreadsheets, proposals, work instructions, reports, presentations, taking meeting notes and official correspondence
  • Be a forward-facing employee to the court and other stakeholders and ensures that communication is of professional standards and representative of DSHS policies, procedures, and expectations
  • Provide support for the Program Director on a wide range of confidential issues including policy and process change development
  • Organize and schedule meetings with various officials, state agencies, and constituents on behalf of the Program Director
  • Maintain and track assignments for the Program Director and other work projects and deadlines within SCRP
  • Establish and maintain record and filing system that supports and adheres to retention requirements for records
  • Plan, facilitate and track recruitment efforts within the SCRP. Primary point of-contact regarding recruitment and onboarding processes
  • Provide budget maintenance within delegated authority
  • Process vendor invoices for payment
  • Supervision, support, and back-up for secretary senior

What we're looking for:

  • Strong organization and administrative skills
  • Ability to prioritize work, find information quickly, complete work, and return to critical tasks in the midst of multiple interruptions
  • Ability to independently manage time and tasks
  • Strong sense of customer service and team orientation
  • Advanced experience using Word, Excel, PowerPoint, Outlook, PowerPoint, Access, Publisher, Visio, and internet applications including familiarity with SharePoint
  • A desire to be a leader and interest in maintaining a culture of belonging

Who should apply?

High school diploma or GED

AND

Three or more years of progressively responsible experience in office, clerical, secretarial, bookkeeping, accounting, or general administrative work
