Director, Oncology Clinics

Department Overview

Reporting to the Senior Director, Ambulatory Oncology, the Director of Oncology Clinics oversees operations for OHSU Knight Cancer Institute clinics situated on the main campus. These clinics encompass a wide range of specialties, including hematologic malignancies, cellular therapy, medical oncology, surgical oncology, classical hematology, gynecology oncology, and palliative care. The Director is responsible for overseeing scheduling optimization for clinics, managing the call center to meet benchmarks of industry efficiency, streamlining clinic functions, optimizing clinic processes, and collaborating with Divisions on provider onboarding and offboarding. The role also involves operationalizing program development for targeted growth opportunities.

This position is accountable for human resources, quality compliance and financial management within the noted clinics. As an integral part of the broader leadership team, the Director of Oncology Clinics collaborates with other Program leaders to design and implement essential workflows that ensure compliance and improve patient and staff satisfaction and safety.

Function/Duties of Position

Clinical and Team Operations

  • Manages daily operations of clinical practice including the development and/or sustainment of workflows that facilitate patient satisfaction, safety, and maximizes efficiency in collaboration with other leadership.
  • Oversees the physical environment and clinical equipment, ensuring patient safety and anticipates patients, families, providers and staff needs.
  • Proactively predicts clinical capacity by analyzing captured data, collaborating with leadership to detect and address capacity issues promptly.
  • Provides support and guidance to direct reports for daily operations, adhering to labor contracts and regulations applicable to clinic-based staff.

Financial Management

  • In coordination with the Senior Director, Ambulatory Oncology and Oncology Finance Manager, develops clinical budgets for the practice.
  • Accesses institutional systems (Oracle, Rubix, Axiom and other systems) to generate and aid in budget monitoring. Investigate and resolve fiscal anomalies. Manage clinical expenditures against the budget for OHSU Knight Cancer Institute clinics with actionable items to the Senior Director, Ambulatory Oncology.
  • Monitors and updates capital replacement schedule for oncology clinics.

Human Resources

  • Directly supervises Clinic Operations Supervisor, Care Coordination Supervisor, Scheduling and Call Center Supervisor, and three Administrative Coordinators.
  • Indirect Reports: 29 Care and Team Coordinators, 33 Clinical and Infusion Medical Assistants, 27 PAS and PASRs
  • Oversees the recruitment and hiring processes for all reporting teams, as well as the forecasting and request of new initiatives.
  • Ensures and document updated records of all reporting staff licenses and renewals (as applicable) as well as attendance and satisfactory completion of mandatory skills competencies, included but not limited to OHSU Compass trainings.
  • Ensures clinical staff under this office maintains current all health-related requirements for their positions as per the OHSU office of Employee Health.
  • Conducts regular staff meetings and 1:1 encounter with direct reports and actively promotes staff engagement.
  • Attends 1:1 and leadership meetings called by the Senior Director, Ambulatory Oncology.
  • Manages human resources according to labor and employment laws, rules and regulations, and collective bargaining agreements; complies with AFSCME contract and responds in a timely fashion to any filed grievances
  • Complies with performing competency-based performance appraisals annually and in timely fashion.
  • Maintains current position descriptions for all employees to include performance standards, essential job functions, and unit-specific competencies.
  • Establishes, manages, coaches, leads and develops clinical staff into productive, results-oriented team with a focus on customer service.

Management

  • Functions as a collaborative member of the leadership team.
  • Attends cross-management meetings and huddles to ensure alignment of program initiatives and problem solve.
  • Participates and facilitates area daily readiness huddles.
  • Follows determined escalation pathways to highlight and resolves issues.
  • Works collaboratively with program leadership to communicate changes and implement change management strategies.

Performance Improvement

  • Attends quality care coordination committee as clinic participant. Assigns themselves or staff member to serve on project/process improvement teams.
  • Responsible for maintaining internal quality management activities such as PSI review. Works collaboratively with the Ambulatory Nurse Specialty leader to advert high risk, problem prone issues.
  • Demonstrate leadership and facilitation skills. Demonstrate self-motivation. Promote a cooperative work environment for all employees and patients

Required Qualifications

  • Master's Degree in Healthcare Administration or related field is required
  • Prior managerial experience in a complex, multi-facted health care setting
  • 5 or more years in a progressively increasing managerial/supervisory role.

Preferred Qualifications

  • Preferably oncology / BMT experience
  • Preferably in an academic setting
