Director of Special Events

Summary

The Director of Special Events position is responsible for directing the three major fundraising events at PPGC: the annual Houston luncheon, New Orleans Fall Celebration, and Baton Rouge Spring Event; and implementing stewardship events in the Texas PPGC service area. The position maintains a portfolio of event donors and collaborates regularly with the VP of Development, the VP of Strategic Partnerships-Louisiana and Development team members.

Essential Duties

Texas Service Area Events

  • In coordination with the VP of Development, manages the honoree, chairs and volunteer leadership for the Houston luncheon.
  • Works closely with gift officers on cultivation and solicitation of tables sponsors.
  • Maintains a portfolio of event donors.
  • Oversees and manages all event logistics, including scoping venues, securing vendor contracts, catering and day-of logistics.
  • Works closely with Development and Communications teams on event production and execution, including materials and program development.
  • Works with Public Affairs team to recruit, organize and manage volunteer support as needed.
  • Establishes the event goals in coordination with VP of Development and develops strategies, plans and budget; outlining revenue and expenses; and monitors progress against goals.
  • Manages an accurate and timely record of ticket and table sales through event database.
  • Plans and implements Development stewardship events.

Louisiana Events

  • Works in coordination with the VP of Strategic Partnerships LA to manage logistics of Louisiana events, including scoping venues, securing vendor contracts, catering and day-of logistics.
  • Works in coordination with the VP of Development and VP of Strategic Partnerships LA to establish event goals, strategies, plans and budget.
  • Works closely with the VP of Strategic Partnerships LA, Development Writer and Communications team on event production and execution, including materials and program development.

Education And/or Experience

  • Bachelor’s degree required
  • Fundraising experience in annual fund
  • Demonstrated track record with respect to detail orientation and accuracy.
  • Experience in Raiser’s Edge preferred.
  • Experience with graphic design software preferred.

Qualifications And Ability

  • 2-4 years of progressive responsibilities in non-profit fundraising.
  • Ability to lead multiple long- and short-term projects simultaneously, meeting all related deadlines; ability to plan, prioritize, coordinate, and manage own work; ability to work unsupervised and make decisions and solve problems independently, effectively and creatively.
  • Demonstrated ability to plan and execute effective fundraising events.
  • Demonstrated success in annual fundraising campaigns, methods, and techniques.
  • Experience working as a member of a team and developing effective working relationships with staff, volunteers and donors.
  • Strong knowledge of principles, ethics and practices of successful fundraising concepts, and appropriate solicitation techniques.
  • Ability to work well under pressure.
  • Ability to write correspondence, reports, fundraising collateral and speaking remarks.
  • Ability to effectively present information to top management, public groups, and/or boards of directors.
  • Ability to interact with diplomacy and tact amid influential clients and diverse groups.
  • Goal-oriented, strategic, persistent and persuasive in the contact, follow-through and completion of acquiring donor gifts.
  • Thorough, organized and detail-oriented approach to work.
  • Understands the confidential nature of fundraising efforts and donor information, and maintains high level of confidentiality.

Language Skills

  • Excellent verbal and written communication, interpersonal and relationship-building skills to effectively work with a variety of people and personalities; ability to communicate clearly in person and in writing.

Computer And Mathematical Skills

Computer skills in the following areas: Microsoft Excel, Word (mail merge), etc.), PowerPoint and Windows environment

Computer literacy and competency with electronic donor tracking systems.

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

While performing the duties of this Job, the employee is occasionally exposed to outside weather conditions. The noise level in the work environment is usually moderate.

This role is hybrid remote with some travel to event sites including in the state of Louisiana required.
