Job Title: Director of Operations


Location: Oakland, CA (Initial onsite requirement; hybrid option available once acclimated).


Compensation:

  • Annual salary range: $200,000 to $250,000
  • Average annual benefit contribution: approximately $10,000 (no bonus structure)

Job Summary: The firm is seeking an experienced Director of Operations to enhance operational efficiency and compliance. Reporting to the COO, this role involves managing daily activities, establishing best practices, and supporting growth and compliance within the retirement industry.


Responsibilities:

  • Oversee departments including Cash Management, Real Estate, Alternative Assets, Precious Metals, Distributions, Transfers, Office Administration, Regulatory Reporting, and Compliance.
  • Lead the core system replacement, ensuring seamless integration and efficiency improvements.
  • Foster a culture of collaboration, accountability, and continuous improvement within the operations team.
  • Set and monitor key performance indicators (KPIs) to drive informed decision-making.
  • Collaborate with departments such as technology, finance, compliance, marketing, sales, and HR to align operational initiatives with company goals.
  • Develop and implement company policies and Standard Operating Procedures.
  • Maintain the business continuity plan.
  • Ensure compliance with laws and regulations through coordination with asset custodians, regulators, and auditors.
  • Promote a culture of high performance and continuous improvement.
  • Oversee cross-training to ensure operational backup and comprehensive staff understanding of departmental roles.
  • Maintain high client service standards to meet or exceed company goals.
  • Mentor and develop staff, setting objectives and monitoring results.
  • Additional duties as assigned.


Required Skills and Qualifications:

  • Bachelor’s degree in finance or business administration.
  • Minimum ten years of management experience in banking, finance, audit, or related fields.
  • Knowledge of accounting, bank operations, and finance principles.
  • Strong analytical skills for interpreting data, policies, and procedures.
  • Excellent interpersonal, written, and verbal communication skills.
  • Proven leadership in transformational initiatives, especially in system implementations.
  • Change management expertise to facilitate process and technology adoption.
  • Ability to plan and manage operations for maximum efficiency.
  • Self-motivated with the ability to work independently.
  • Detail-oriented to ensure precision in operational procedures.
  • Experience with DocStar and Accutrust Gold is a plus.
  • Knowledge of Self-Directed IRA industry laws and regulations is a plus.
  • Certified IRA Services Professional or Qualified Plan Professional designations are advantageous but not required.


Supervisory Controls:

  • Supervision Received: Works independently, choosing methods to complete tasks.
  • Employees Supervised: Directly manages six managers, including hiring, performance appraisal, and disciplinary actions in coordination with HR.

  • Requires coordination of diverse job functions to ensure timely and accurate results.
  • Frequent application of analytical skills to solve complex problems.
  • Maintains confidentiality and adheres to privacy policies.
