DIRECTOR OF FACILITIES

Position Summary

Knowledgeable Director of Facilities with 10+ years of experience in facilities maintenance and management responsible for directing all physical plant operations including security, maintenance, and housekeeping for Chicago area properties. In this role, you will be responsible for performing regular building safety and security inspections and overseeing and evaluating security and cleaning services as applicable. The Director of Facilities is responsible for overseeing systems and equipment maintenance for all company owned and managed assets.

Educational Requirements

Bachelor's degree in Facilities Management, Business Administration, or a relevant discipline.

Experience & Training

Facilities Leadership

  • 10+ years of related experience, including building maintenance and operations, security, staff development and management.
  • Experience negotiating and working with external service providers, establishing contracts, contract administration, payments, and scheduling
  • Knowledge of electrical, plumbing, carpentry, air conditioning, and kitchen equipment in maintenance operations of commercial properties
  • Possess a strong knowledge and operational skills with Life Safety systems, wet and dry fire suppression systems, fire pumps, controls and alarms
  • General knowledge of all construction phases and local building and safety codes
  • Must be able to read blueprints, analyze, and interpret designs as related to building systems
  • Strong managerial experience with internal staff and external vendors
  • Ability to quickly identify and resolve problems. Strong problem-solving and decision-making abilities
  • Ability to coordinate activities and events, analyze diverse situations and recommend appropriate courses of action.
  • 2-5 years management experience of a multi-site property portfolio
  • Strong organizational and time management skills
  • Flexibility and adaptability to changing priorities and workload

Staff Leadership

  • 2-5 years’ experience in a supervisory capacity
  • Ability to work independently and as part of a team.
  • Hire, train, motivate and develop reporting staff members
  • Provide administrative oversight and management of facilities staff including evaluation of work performance, coaching, and development
  • Assign tasks/work and tracks progress and completion
  • Direct reports may include Facilities Supervisors, Coordinators, Technicians, Operations staff

Skills

  • Ability to work in a fast-paced, deadline-oriented environment with great attention to detail. Excellent communication skills, both written and verbal. Excellent communication, leadership, and interpersonal skills
  • Knowledge of building management systems and work order software (PropertyTrak preferred)
  • Excellent PC skills (Excel, Word) and internet online reporting; skill in preparing and maintaining records, writing reports, and responding to correspondence. Proficiency in Microsoft Office Suite and facilities management software

IV. Essential Job Duties & Responsibilities

Facilities Maintenance

  • Is the Administrator of PropertyTrak Facilities Equipment and Maintenance System for FH and HRDI
  • Ensure accurate tracking of clinical and non-clinical equipment for FH and HRDI
  • Review work order requests and assign tasks for equipment and facility repairs
  • Oversee all building repairs, maintenance, and service contracts for assigned locations, to include but not limited to contractors, security, garbage collection, HVAC, pest control, snow removal, landscaping and verify all work is completed to a satisfactory level
  • Oversee the housekeeping functions for all locations and ensure work is being completed and up to acceptable quality standards
  • Provide direction for 3rd party and in-house preventative maintenance programs
  • Develop and oversee scheduling and deployment of required inspections for Fire Safety Systems and Elevators. Ensure compliance of Fire Systems Inspections, Repair, Upgrades and Fire Systems Monitoring
  • Manage the inventory of supplies, tools, and equipment needed for facility maintenance
  • Collaborate with other departments to ensure that facility needs are met in a timely and effective manner
  • Respond to urgent maintenance calls

Facilities Management

  • Manage and schedule all facilities related to deliveries and pickups, including collection and removal of garbage and recyclables
  • Oversee annual facilities site audits
  • Responsible for contract negotiations for facilities related scopes. For example, Elevator Maintenance, Fire Systems Maintenance, and Monitoring
  • Establish and maintain an inventory of major building systems and ensure proper maintenance contracts and preventative maintenance schedules are in place, and repair work is completed as needed
  • Oversee the set-up for all group meetings, including set-up, wrap-up of furniture, food and beverage set-up, equipment, and furniture rentals, if needed, and determining and arranging extra security as needed
  • Equipment Management
  • Responsible for inventory of all stored facilities equipment and office equipment. Allocates all storage spaces and enforces standards for furniture and space utilization
  • Maintenance of online Asset Database. Cataloging equipment purchase date, serial, model numbers, warranty information and end of life projections
  • Request intake and work order management, delegation of work, and tracking of completion (PropertyTrak)
  • Develop and maintain a comprehensive maintenance schedule to ensure all systems and equipment are properly maintained

Vendor Management

  • Source appropriate vendors and trades
  • Contract with vendors as needed for equipment and facility repairs
  • Liaises with vendors and suppliers on behalf of senior managers
  • Work directly with vendors to negotiate the best pricing for facility related equipment
  • Work with vendors and contractors to ensure timely and cost-effective completion of repairs and maintenance tasks
  • Safety and Security
  • Responsible for 24/7 building security at all Chicago locations including: establish and maintain security requirements, secure and manage security service contracts and personnel to ensure the safety and security of buildings, employees and guests; respond to building alarms, act as the primary emergency contact person during off hours
  • Establish and maintain safety standards in facilities work activities and ensure proper use of chemicals and equipment in facilities maintenance and landscaping activities
  • Prepare for emergencies by developing and updating Emergency Action Plans, including emergency evacuation procedures and schedules for emergency drills
  • Test building security systems and promote safety within the facilities
  • Prepare assets for natural disasters and emergencies
  • Financial Management
  • Maintain accurate records of all maintenance activities, expenditures, and repairs
  • Review expenses and makes recommendations for improved operational efficiencies
  • Assist with budget planning and forecasting for facility maintenance expenses
  • Develop and submit capital budget projections for annual equipment and facility budget preparation
  • Responsible for recommending annual and long-term capital plans for each facility site
  • Responsible for budgeting annual capital projects and maintenance
  • Review and approve estimates, purchase orders, invoices, pay apps, and lien releases on a daily basis
  • Construction and Project Management
  • Conduct routine inspections and audits to identify areas of improvement for facility maintenance and upgrades. Makes recommendations to FH and HRDI leadership for these projects
  • Provide support during company development activities including acquisitions, dispositions, and new builds
  • Setup project management tracking for execution of approved budgeted projects
  • Apply for permits, attend inspections with local government agencies as required
  • Provide support when needed on all construction projects
  • Work Requirements
  • Sitting, standing, walking, bending, climbing stairs, kneeling, and lifting up to 50 lbs
  • Work varied shifts as needed, including weekends and holidays
  • Familiarity with local, state, and federal regulations regarding health and safety in the workplace
  • Performs other duties as required or assigned, which are within the scope of duties enumerated throughout
