About AidKit

AidKit is the engine that nonprofits and governments trust to operate cash assistance programs. We replace convoluted workflows of glued-together CRMs, spreadsheets, surveys, forms, bank portals, and human tedium with one unified platform to allow organizations to operate more efficiently and get dollars directly into the hands of people who need it most.

Our platform powers some of the nation's largest direct cash and guaranteed income pilots. We specialize in serving hard-to-reach populations, including:

AidKit grew out of a need to distribute funds to support undocumented workers in Colorado during the early days of the coronavirus pandemic. We built efficient, scalable systems to manage programs and distribute funds with equity and dignity. Our philanthropic roots have grown into a startup, and we now provide the technology backbone for some of the nation's largest direct cash programs.

We are growing rapidly and the opportunity for impact ahead is immense. We are supporting the largest Guaranteed Basic Income and direct cash assistance programs in the United States and seeing new and exciting ways to support people living in poverty with dignified aid every day.

About The Role

The Director of Accounting and Payments will report to the CFO and will be responsible for executing all financial operations related to grant fund balance management, reconciliation, accounts receivable, accounts payable, tax management, and program overhead support. This role requires a meticulous and detail-oriented individual with strong analytical skills and the ability to manage multiple tasks efficiently.

Key Responsibilities

Accounting:

  • Manage the overall month-end close process ensuring an accurate and timely close.
    • Aggregate and prepare all AidKit payment data.
    • Pull statements from financial institutions and payment vendors.
    • Perform monthly reconciliation on all accounts (>100 individual accounts with >15k transactions)
    • Support accounting anomaly resolution.
    • Review monthly statements.
    • Review and resolve anomalies.
  • Ensure compliance with US GAAP accounting policies and procedures, and all applicable government contract rules.
  • Identify process improvements and automation opportunities to support AidKit’s future growth. Develop processes that are both documented and scalable.
Accounts Receivable:

  • Review deposits daily: Log deposits, Move funds to appropriate accounts as required.
  • Disburse funds to third-party payment providers based on program needs.

Accounts Payable:

  • Manage weekly accounts payable processing.

Manage State and Federal Taxes:

Collaborate with tax accountants to compute and pay estimated quarterly taxes and annual taxes.

  • Lead audits and financial due diligence processes.

Budget, Forecast, and Decision Support:

  • Partner with the CFO and CEO to develop the annual budget and forecast processes.
  • Monitor monthly actuals against the annual budget and identify any deviations or anomalies
  • Prepare Financial Projections: Update financial projections with monthly cash actuals, Update revenue based on contract updates, Update the payroll, Update cash receivable dates.
  • Ensure compliance with US GAAP accounting policies and procedures, and all applicable government contract rules.
  • Working collaboratively across the company, provide financial analysis to support ad-hoc business decisions and new investment opportunities.

Grant Payments:

  • Monitor and manage grant fund balances to ensure adequate funds are available to pay recipients in a timely manner (>100 accounts)
  • Review and approve all program payments.
  • Investigate and resolve any individual program payment processing anomalies.
  • Manager Payment Vendors:
    • Negotiate rates with payment vendors.
    • Ensure vendor compliance with financial regulations.
    • Collaborate with CFO to optimize payments.
  • Work to understand program payment workflows and make improvements to drive accuracy, efficiency, and client satisfaction.
  • Improve payment reporting for clients.
About You

Keep in mind that we care more about the skills you exhibit and a growth mindset than checking all the boxes.

  • Bachelor's degree in Finance, Accounting, or a related field (Master's degree preferred).
  • CPA or CMA certification is required.
  • Minimum of 5 years of experience in finance and accounting, with a focus on payments and reconciliation.
  • Strong knowledge of financial software and tools (e.g., QuickBooks, Excel).
  • Excellent analytical and problem-solving skills.
  • Attention to detail and high level of accuracy.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.

Compensation and Location

For this full-time position, you can work from anywhere in the United States. The salary range for this role is $110,000 - $130,000.
