Job Description

The Director of IT Project Portfolio Management oversees the strategy and operations of the IT PMO. This individual works with Project/Program Managers to monitor scope, cost, schedule, and technical performance of component projects and operations, ensuring the ultimate success of the program. The role demands a highly organized, responsible individual capable of effective collaboration across various departments and levels. The director must demonstrate accountability, lead with humility, and foster career growth and development for team members.

Key Responsibilities

Portfolio Management and Strategic Alignment:

  • Oversee the planning, execution, and closure of a portfolio of IT projects.
  • Develop and maintain a strategic roadmap for the IT project portfolio, ensuring alignment with business goals and objectives.
  • Prioritize projects within the portfolio based on strategic value, resource capacity, and risk assessment.
  • Ensure clear linkage between the business vision/context and the project scope and objectives.

Resource And Capacity Management

  • Optimize resource allocation across the project portfolio to ensure efficient utilization of resources.
  • Monitor and manage resource capacity, balancing workload to prevent resource overutilization or underutilization.
  • Collaborate with resource managers to address resource constraints and conflicts.

Risk And Change Management

  • Proactively identify risks across the project portfolio and implement mitigation strategies to ensure minimal disruption to project timelines and objectives.
  • Manage changes to project scope, schedules, and costs using appropriate verification techniques.
  • Ensure consistent risk management practices across all projects within the portfolio.

Stakeholder And Communication Management

  • Act as the primary liaison between all project stakeholders, including business units, IT teams, vendors, and executive leadership, ensuring clear communication and stakeholder engagement.
  • Provide regular portfolio updates, status reports, and presentations to keep stakeholders informed of project milestones and outcomes.
  • Facilitate portfolio governance meetings and steering committee sessions.
  • Manage project briefings with stakeholders at various levels of the organization, including executive levels and other internal and external resources.

Financial Oversight And Performance Reporting

  • Manage the financial aspects of the IT project portfolio, including budgeting, forecasting, and financial reporting.
  • Ensure accurate and timely financial reporting that reflects the current status and overall budget adherence of the portfolio.
  • Track and report on portfolio performance metrics, including project delivery, budget variance, resource utilization, and risk management.
  • Develop or ensure development of project artifacts including charter, integrated plan, resource plan, contingency plan, and related PM artifacts while complying with applicable enterprise standards.

Continuous Improvement And Compliance

  • Implement best practices and continuous improvement initiatives to enhance portfolio management processes and outcomes.
  • Ensure all projects within the portfolio comply with industry standards and company policies.
  • Drive the adoption of project management methodologies, tools, and techniques across the portfolio.
  • Maintain and continually improve project management methodology and supporting processes/tools ensuring adherence to requirements.
  • Apply an ongoing continuous improvement mindset to all areas of responsibility, measuring effectiveness and value of PMO performance and refining as needed.

Leadership And Team Development

  • Lead and serve as the primary escalation point for PMO employees and contractors.
  • Serve as a mentor, coach, and additional escalation point for Project Managers.
  • Support, mentor, and coach direct reports in the delivery of their work as well as their personal and professional growth and development.
  • Advise and coach leadership on successful delivery of business programs/initiatives to advance project/program management execution across the enterprise.

Qualifications

  • 12+ years of experience in the delivery of large-scale process and technology implementations and transformations, with at least 10 years in a project/program management capacity.
  • Bachelor’s degree in an IT or Business-related field, master’s degree preferred.
  • Demonstrated outstanding expertise in program and project management as well as software development lifecycles (waterfall, agile, etc.).
  • Project/Program management certification(s) (e.g. PMP, PMI-ACP, PRINCE2, etc.).
  • Strong presentation, written, and verbal communication skills that bring clarity and precision at executive levels.
  • Comfortable with communication to all levels of management, including challenging others to drive clarity and results.
  • Knowledge and expertise in the use of project management methodologies and tools (e.g. ServiceNow SPM, MS Project, and SharePoint repositories).
  • Change leadership and management skills; ability to create and promote a vision for change, inspire others to take part in the vision, and guide them through the changes.
  • Risk management skills.
  • Stakeholder management and influencing skills.
  • Business and technical acumen.
  • Problem-solving and critical-thinking skills.
  • Strong experience driving and leading executive meetings.
  • Ability to effectively communicate and report on the objectives and goals of the project strategy.
  • Focus on details while maintaining a high-level view of primary objectives and vision.
  • Ability to lead and drive teams with a focus on results.

$131,600.00 - $244,200.00

Base pay offered may vary depending on actual location, job-related knowledge, skills, and experience. Supplemental pay types may include commissions or bonus incentives, depending on the role.
