Indenovo Global is partnered with a growing Ophthalmology group out of the Midwest seeking an experienced Clinical Director of Operations to oversee and optimize the operational efficiency of their ophthalmology service facilities. As the Clinic Operations Director, you will lead all operational aspects of the organization, ensuring the efficient delivery of high-quality patient care and the smooth functioning of all clinical and scheduling activities. You will play a key role in managing clinic resources, optimizing workflows, training, scheduling, and fostering a patient-centric and team-centric environment to support the best possible outcomes for individuals in need of retina care and services.


Competency A: Operational Management


The COD causes the following duties to be performed by either directly performing the work or delegation of the duties to assigned staff.


  1. Oversee the day-to-day operations of multiple retina clinics, including scheduling, patient flow, and resource allocation to optimize efficiency and patient, staff and physician satisfaction.
  2. Develop and implement standardized processes and protocols to ensure consistency and quality in clinical and scheduling operations.
  3. Develop and monitor key performance indicators (KPIs) related to clinic operations, training, and clinical quality, and implement strategies to improve performance and productivity.
  4. Work with ED and Patient Services Manager to oversee maintenance of physician clinic rotation as directed by the physician managing partner, and work with individual physicians to approve adjustments to scheduling templates as allowed by staffing resources.
  5. Work with ED to oversee communication with all clinic, clinic triage and scheduling, surgery scheduling and training to ensure clear and consistent messaging.
  6. Work with Facilities Manager and Director of IT to ensure all clinic facility, equipment and IT needs are met.
  7. Work with ED to design and develop layout for new facilities or remodeled facilities, assist ED in oversight of buildout of facilities when required.
  8. Work with director level leadership to implement strategic initiatives as directed by the Board of Directors and the Executive Committee.
  9. Develop and maintain relationships with representatives from companies providing pharmaceutical, cleaning, medical, and equipment services and supplies to TRI.
  10. Provide liaison with TRI’s referring providers as needed.
  11. Along with Human Resources, oversee and coordinate all recruiting, interviewing, hiring, onboarding and training for clinical staff.
  12. Prepare monthly reporting on clinic productivity, including scheduling metrics, patient cycle times by location and physician; technician workup times; and clinical encounter productivity by location.
  13. Keep up to date with regulatory requirements by studying existing and new legislation and take action to ensure TRI compliance. Ensure clinical staff are compliant with training needs including needs related to OSHA and the Health Information Portability and Accountability Act.
  14. Work with ED and director leadership to develop and maintain leadership training and education for practice management.
  15. Provide operational input to strategic, long range, and annual plans.
  16. Prepare a monthly operations report and attend the meeting of the Board of Directors, on the 4th Monday evening of every month, to answer questions about your report.
  17. Other duties as assigned.


Competency B: Staff Management


The COD attends the Director section of the monthly Board of Directors meetings, attends monthly management meetings, and works closely with the Clinic Managers, Clinic Training Manager, Patient Services Manager and Surgery Scheduling Supervisor to ensure that leadership has an accurate understanding of the company’s operational objectives, position and impact on patient care in the clinics. As a leader, the COD has the following responsibilities:


  1. Customer Service: Understands and meets internal and external customer needs by regularly communicating with them; gaining an understanding of their needs; and developing a posibive working relationship based on mutual trust.
  2. Planning and Achievement: Sets and achieves goals by identifying and prioritizing critical needs; establishing action plans; collaborating with others to accomplish results; accepting respnsibility for setbacks and failures; and giving others recognition for accomplishments.
  3. Communications: Keeps others well-informed about key issues by regularly, clearly, and honstly communicating with subordinates, other management team members, and doctors; and encouraging an open discussion of even the most difficult issues without blaming others.
  4. Change Agent: Constantly improves operations, processes, and service by taking intelligent risks; being willing to break from tradition; constantly reviewing process performance; assuming that operations and services can always be performed; setting high levels of expectation; and encouraging others to participate in the change process.
  5. Operational Focus: Manages from an operational perspective by demonstrating an understanding of the impact that decisions have on all areas of operations; establishing and cultivating collaborative relationships; facilitating consensual decision making; and balancing the needs of patients, employees, physicians and the corporation.
  6. Coaching and Mentoring: Assists others in maximizing their potential by establishing and communicating desired behaviors; reinforcing commendable job performance; providing constructive feedback to correct poor performance; preparing employees for potential advancement; and championing the concept of lifelong learning.


Qualifications:


  1. Education: The COD must have a bachelor’s degree in business, healthcare administration, communications, or similar field of study. Preference will be given to candidates with Lean Six Sigma or similar training or experience and certification as well as Certified Ophthalmic Assistants, Certified Ophthalmic Technicians or Certified Ophthalmic Executives.
  2. Experience: The COD must have at least 5 years of experience in a leadership position, preferably in an Ophthalmology setting.
  3. Skills: The COD must have the following skill set. a. Proficient in all Microsoft Office software, including but not limited to Microsoft Office, Outlook 365 and Sharepoint. b. Proficient and comfortable working with computers, information systems, and software applications, especially practice management and electronic health records. Preference will be given to candidates with experience in Nextgen PM and/or Nextech EHR. c. Ability to make sound operational decisions regarding resource management and allocation, training, and clinical quality. d. Exceptional verbal, written, and visual communication skills. e. Exceptional interpersonal skills, especially with sensitive matters. f. Understanding of ophthalmology terms. Preference will be given to candidates with experience specific to the retina subspecialty.
  4. Personal Characteristics: a. Excellent leadership skills, with steadfast resolve and personal integrity.


Benefits:


  • $83,000-124,000 base range with opportunity for KPI based bonuses in 2025, benefits (2/3 medical coverage inc. dental and vision,18 days PTO eligible for increase after 5 years of service, monthly cell allowance and gas reimbursement for travel at $0.65/mile).

Candidates must be able to commute and travel to ophthalmic locations and ASCs as needed. Driving license ideal but not necessary.
