About The Role

RepresentUs seeks a full-time Development & Events Coordinator to support the Vice President of Development and the overall Development Team. Under the direction of the VP of Development, the Development & Events Coordinator will lead comprehensive administrative support and strategic coordination for the Development team, including managing donor data and ensuring data integrity, supporting fundraising initiatives, campaigns, and orchestrating event logistics to achieve revenue goals and enhance donor engagement.

What You'll Be Doing

  • Overall Development Support
  • Assist with the creation and implementation of the Development Plan that incorporates a range of strategies including annual appeals, major donors, grants, corporate and individual appeals, fundraising campaigns, and special events
  • Provide development-related administrative support to the VP of Development. This support includes managing schedules and office calendars, coordinating meetings; preparing reports, presentations, and documents as needed
  • Assist in prospect research to identify potential donors by utilizing a CRM, Wealth Screening tools, and internet research. This includes preparing donor briefings and assisting in building out a prospect pipeline
  • Assist in grant research and tracking.
  • Manage donor data, gifts and pledges, and other records in an accurate, timely, and secure manner while maintaining data integrity and keeping records updated with current information
  • Draft and ensure donor acknowledgements and other correspondence are sent in a timely manner
  • Prepare and deliver donor reports, presentations, and other materials as required
  • Assist in the preparation of grant applications and other fundraising proposals
  • Responsible for managing and responding to all general development inquiries by email and phone
  • Manage and execute all list generation for mailings (physical and digital), donor recognition, event invitations, and all necessary follow-up
  • Assist with the implementation and logistics of stewardship plans for donors
  • Events & Meeting Coordination
  • Support event and development Board of Director committees, including taking meeting minutes and sending them to committee members in a timely fashion. Work with committees and VP of Development in establishing and adhering to event budget, assist with event preparation, and attend events as needed to assist in set up, implementation, and clean up.
  • Develop and execute fundraising campaigns and events, including researching, creating, and managing timelines, budgets, and other related materials
  • Plan and facilitate meetings and other events, including managing guest lists, registration, and other event logistics
  • In collaboration with the VP of Development, responsible for achieving and reporting on target earned revenue goals as generated by donor events
  • Provide regular reports and analyses on donor events and engagement to the senior Development team and other stakeholders.
  • Working with Marketing and senior management, generate all correspondence to prospective and current donors, including invites and thank-you letters
  • Work with Development Operations regarding list and donor data management
  • Track event RSVPs and assist with follow up
  • Maintain records on event activities, progress, status, and post-event summaries
  • Performs general office and administrative tasks, such as scheduling meetings, taking meeting minutes, fielding phone calls and donor inquiries, managing shared office calendars, and process handling incoming and outgoing mail, gifts, and pledges.


Skills and Experience

  • Minimum of 2 years experience in a development, fundraising, or operations role
  • Minimum of 2 years experience working in a CRM with ability to navigate systems and run reports
  • Familiarity with the major giving cycle, moves management, and industry best practices
  • Demonstrated ability to conduct routine and daily activities with utmost professionalism and integrity
  • Excellent organizational, communication, and time-management skills. Ability to complete work accurately with attention to detail
  • Ability to work effectively with people at all levels of the organization including: staff, consultants, colleagues, volunteers, members/constituents, donors, and the general public. Must be confident, outgoing, courteous, and professional in all written and verbal communications
  • Must have a strong personal work ethic and ability to organize time and manage diverse activities
  • Consistently demonstrate common sense, flexibility, and teamwork. Must be able to adapt or modify plans, timelines, or processes in response to changing circumstances
  • Ability to work under pressure, anticipate needs, and meet deadlines
  • Preferred experience: Minimum of 2 years experience in prospect research and gift processing for a mid-sized or larger non-profit organization


Individual contributor expectations

  • Submit timesheets according to deadlines.
  • Submit expense reports and reimbursements in a timely manner
  • Participate in regular 1:1 meetings with manager
  • Prioritize timely attendance and participation in all staff meetings, goal-setting sessions, and other meetings during office hours
  • Participate in annual performance review process and contribute to a culture of continuous feedback
  • Support internal culture building efforts
  • Commitment to working beyond partisanship and to contribute to Diversity, Equity, Inclusion, and Belonging (DEIB) is essential
  • Use and contribute to ongoing improvements of department and organization-wide systems, processes, and technology

This position is virtual and open to residents in the United States working East Coast hours.

This is a non-exempt position. The starting salary for the Development & Events Coordinator position is $64,000-$69,000.

Starting salary is based on the selected candidate’s qualifications and experience. To counter pay inequality and uphold internal parity, we use a nonnegotiable starting salary system, while benchmarking our pay to competitive markets.

This position is part of the bargaining unit represented by Office and Professional Employees International Union, Local 153 (OPEIU).
