The Development and Grants Manager spearheads a variety of fundraising and grants management projects. This position is responsible for stewarding and growing a fundraising plan that identifies and attains new donor and funder prospects in collaboration with the Executive Director, as well as focusing on identifying and applying for grants and producing timely, well-written grant reports. During the annual benefit and award ceremony season (January - April), this position will assist in fundraising and ticket sales, along with assistance at the events.


This position’s efforts are critical to generating a minimum of $300,000 in revenue each year for the organization which includes generating strategies for acquisition, renewal, and upgrades to reach annual financial goals. With the Executive Director, the successful candidate will develop a fundraising plan that identifies new donor/funder prospects. Develops the research and donor materials to support gift solicitation by the Executive Director. This position will also be responsible for tracking and processing all pledges and gifts.

Part-time, 20 - 25 hours a week

Hybrid, 1 - 2 days in the office (Tuesday and/or Wednesday)



Essential Job Functions


DEVELOPMENT

70% ~ 17.5 hours a week

1. With the Executive Director, implement a fundraising strategy that includes individual, government, corporate, and foundation giving, sponsorship, and other donations; build a solicitation pipeline that yields more than $300,000 in support each year.

2. Proactively coordinate pipeline and support process toward reaching financial goals. Calendar and track donor gifts and prospective gifts. Provide forecasts and analysis reports with up-to-date information on fundraising goals. Systematically review and analyze potential prospect information to improve forecast and next steps.

3. Identify and research donor and institutional funder prospects and opportunities. Prepare briefing documents as needed.

4. Draft letters of introduction, follow-up, and solicitation for the Executive Director who will solicit gifts.

5. Draft funding opportunities menus, proposals, and reports.

6. Manage and implement fundraising around specified initiatives.

7. During benefit season (January - April), solicit host committee purchases for annual fundraisers. Assist at each event as per assigned by the Executive Director and external event planner.

8. Partner with the Executive Director to create presentations and reports for quarterly Board meetings and the Development Committee. Attend meetings and take and prepare minutes.

9. Track and keep detailed records in Neon CRM on donors and potential donors, with a focus on “moves management,” noting key details and outcomes of key touch points with donors.

10. Prepare gift acknowledgments and receipts.

11. Manage and track fulfillment of donor benefits, including credit lines and acknowledgments on communications materials (digital and hardcopy).

12. Contribute to the sustained development of the Neon CRM database and be sufficiently knowledgeable about the database to be self-sufficient for most reports and queries.

13. As requested, provide regular, timely, and accurate reports to the Executive Director.

14. All other development duties as assigned.


GRANTS MANAGEMENT

30% ~ 7.5 hours a week

1. Identify and prepare grant applications and reports regularly and on time.

2. Identify and research donor and institutional funder prospects and opportunities. Prepare briefing documents as needed and Letters of Inquiry.

3. Review funding opportunities menus, proposals, and reports.

4. All other grant duties as assigned.


Knowledge, Skills, and Abilities

  • Bachelor's degree
  • 3 - 5 years of professional experience in non-profit fundraising, preferably with some membership experience.
  • Experience working with major grant institutions like the National Endowment for the Arts and other state and federal agencies. Knowledge of the NEA database is required.
  • Strong interpersonal skills, including maintaining member, donor, volunteer, and other internal and external relationships.
  • Strong oral and written communication skills to obtain and accurately and grammatically convey information.
  • Visual communication skills sufficient to produce compelling and aesthetically impactful presentations, diagrams, and communications materials.
  • Exceptional attention to detail and an equal aptitude for data accuracy and integrity.
  • Ability to work in a dynamic, flexible environment in a very planned, organized, and strategic manner.
  • Demonstrated ability to work with and master CRM information and software systems.
  • Experience with Neon CRM is a plus.
  • Strong proficiency with Mac operating systems and Google Workspace, Sheets, and Docs.
  • Knowledge of the visual arts and a strong interest in working in an arts nonprofit environment are preferred.
  • Ability to maintain a work environment consistent with handling confidential departmental, donor, and employee information.
