Job Description

This position is responsible for the oversight and coordination of the Administrative Services unit for the Department of Public Safety which includes supervising DPS Administrative unit staff, coordinating various processes within DPS, providing administrative support to the Public Safety Director and the DPS division directors, addressing building space issues and ensuring fiscal functions of the department are properly completed. This position has responsibility for coordinating and supervising the work activities of other DPS Administrative Services staff which includes approving time off requests and approving payroll for DPS Administrative staff and serves as their backup as needed. This position also provides oversight to various DPS processes including obtaining signatures for contracts and entering them into the portal, coordinating requests for the use of pyrotechnics on campus, coordinating activities in preparation of the department’s Monthly Scorecard and preparing BOT talking points. This position supports the Public Safey Director by maintaining mailing lists for constituent groups and coordinating meetings and keeping minutes. It also serves on committees and leads special projects as assigned by the Public Safety Director and provides regular updates and represents the Public Safety Director in meetings with division directors as needed. Addresses infrastructure issues by working with PARE to resolve building space issues and making recommendations regarding space allocation issues. Facilitates furniture requests, coordinates with the building coordinator to ensure facility issues are addressed appropriately and works with OTDI to install technology upgrades. Has responsibility for coordinating fiscal activities within DPS including managing department travel requests, maintaining the DPS P-card and ensuring department compliance with university internal controls. This position also maintains supplies and coordinates repair requests as well as maintains the vehicle replacement list and coordinates purchase of new vehicles with TTM and Fiscal.

Required Qualifications

Bachelor’s degree in business management or related field required. Demonstrated business experience in an administrative capacity is required. Knowledge of University policies, procedures and financial and procurement systems strongly desired. Supervisory experience required. Proficient in PowerPoint, Excel and Word required. Strong communication skills and ability to work in a team oriented environment.

Other Working Conditions

Subject to 24-hour call in. Days and hours may vary. May work weekends. May work some home football games and special events.

In accordance with the Emergency Preparedness and University Start of Emergency Policy 6.17, this position is designated as a Standby position for Weather or Other Short-Term Closings and an Alternate position during a University State of Emergency (long-term closing).

Additional Information

The targeted hiring range for this position is $69,400 - $91,250 annually, commensurate with education and experience.
