Position Summary

  • Responsible for oversight of the Credit and Collections Department.
  • Provide management and back-up for cash receipts, collections and credit holds.
  • Primary liaison with sales team around establishing appropriate credit limits for customers.
  • Establish, monitor, and communicate KPI’s around credit and receivables performance.
  • Establish, monitor, and maintain allowance for doubtful accounts.
  • Support and communicate corporate strategies, initiatives, goals. and core values to staff.

Essential Tasks Of The Position

  • Primary person for establishing credit limits for new and existing customers.
  • Coordinating with sales around ensuring credit limits are appropriate and support business activities.
  • Checking credit references, reviewing financial statements, communicating concerns with customers, and collaborating to identify creative credit solutions with customer and sales team when necessary.
  • Ensuring receivables performance meets Key Performance metrics around DSO, Past Due amounts, A/R & Orders more than credit limit, write-off percentages, etc.
  • Having strong comprehension around balancing credit risk and profitability.
  • Communicate KPI performance to sales and Executive management.
  • Escalate when appropriate. Keep sales informed and ask for assistance when necessary.
  • Be proactive, ensure customer, sales and management are aware of situation before reaching critical status and inability to service customer.
  • Ensure disputed invoices are resolved quickly and efficiently and that any changes required in other areas of business are communicated to avoid duplication of issue.
  • Coordinate all cash receipt and credit memo tasks are completed timely to facilitate month-end closing.
  • Continually cross train staff so that each position has sufficient backup.
  • Maintain a documented system of procedures and review at minimum annually. Verify the processes empowered by department are consistent with documentation.
  • Coordinate CRM tasks in accordance with company policies.


General

  • Participate in various projects as requested; manage and complete projects and tasks as assigned on a timely manner.
  • Adjust workload and assignment based on analysis of performance and metrics.
  • Make recommendations regarding resource needs and assist with interview and hiring process.
  • Identify areas for improvement and initiate, recommend, or provide solutions through designated channels, not only in direct department, but throughout the company.
  • Provide staff the opportunity to communicate process, procedure, and day-to-day feedback.
  • Communicate with employees concerning performance expectations, productivity, and accountability.
  • Conduct individual performance meetings, document in preparation for mid-year and year-end reviews.
  • Provide leadership to team and organization. Communicate effectively. Set performance expectations. Coach, develop, train, and motivate staff.
  • Perform duties and tasks as prescribed in company policies procedures and work instructions.

Position Requirements

Education:

  • Bachelor’s degree or equivalent work experience in this industry or related field.


Experience:

  • Previous managerial experience for Credit & Collections or A/R Department required.


Knowledge/Skills:

  • Intermediate level of expertise in MS Office and Contact Management Software
  • Excellent verbal and written communication abilities
  • Ability to maintain professional conduct that always exemplifies the corporate policies, particularly when interacting directly with internal and external customers
  • Ability to handle sensitive information with confidentiality and discretion
  • Detail oriented with strong, accurate clerical skills
  • Proficient at multi-tasking
  • Proactive problem solver
  • Highly motivated
