Join Our Team as a Workplace Experience & Operations Specialist!

Position: Workplace Experience & Operations Specialist
Location: New york, New York
Schedule: Monday - Friday
Pay: $28
What You’ll Do:
Workplace Services:
- Reception & Guest Services: Welcome employees and visitors, manage conference rooms, pantry services, catering orders, onboarding, and meeting/event planning.
- Facilities Management: Oversee facilities management, access control, vendor management, repairs/maintenance, shipping/receiving, and emergency preparedness.
Operations Support:
- Vendor Coordination: Schedule routine and emergency vendor and building services, liaising with janitorial, engineering, parking, and security teams.
- Office Maintenance: Ensure the cleanliness and upkeep of all common areas, including mailrooms, printing stations, conference rooms, network lounges, wellness rooms, and kitchens.
- Catering & Supplies: Manage weekly lunch catering orders, set up and clean up, and replenish snacks, coffee, and office supplies within budget.
Event Planning & Safety:
- Event Coordination: Assist in planning internal and external meetings and events, such as holiday parties, promotion celebrations, and town halls.
- Fire Life Safety: Participate in Floor Warden training, maintain employee certifications, and assist during fire drills or emergency situations.
Administrative & Space Management:
- Front Desk Support: Provide high-level customer service, manage incoming phone calls and emails, and assist employees and visitors.
- Invoice Management: Review workplace-related invoices for accuracy and process payments.
- Visitor Registration: Register visitors with building security and manage badge issuance for new hires.
- Space Management: Support space management and conference room reservations for visitors and clients.
- Documentation: Maintain and update office Standard Operating Procedures, Floor Warden Manuals, and Vendor Certificates of Insurance.
- Communications: Assist in preparing office communications and newsletters.
- IT Assistance: Provide basic IT support and coordinate with the IT department for more extensive help.
Mail & Print Production:
- Mail Handling: Receive, sort, and deliver incoming mail and packages, and prepare shipments via FedEx, USPS, and couriers.
- Print Management: Maintain printing machines and resolve issues with local IT support.
Basic Qualifications & Experience:
- Experience: Prior experience in an office setting or hospitality services.
- Skills: Proficiency in Outlook, Excel, and Word. Excellent communication skills, attention to detail, time management, and prioritization skills.
- Attributes: Professional, service-oriented, adaptable to change, and able to work effectively with colleagues, clients, and vendors at all professional levels.
- Physical Ability: Ability to lift/move items up to 25 pounds.
Additional Experience Required:
- Workspace Solutions: Knowledge of Microsoft Teams Rooms, Surface Hubs, AV technology, etc.
- Technical Assistance: Ability to respond quickly to AV technology requests via multiple channels.
- Meeting Space Technology: Familiarity with Microsoft Teams Rooms, Local Presentation Rooms, and Condeco/Scheduling Panels.
- Procedures & Documentation: Follow standard AV operating procedures and accurately resolve and document tasks, incidents, and requests using ticketing tracking software (ServiceNow experience preferred).
