Coordinator, Office of Grants and Sponsored Programs

Job Description

This role acts as the lead for the Grants and Sponsored Programs office; currently an office of one, with future plans to expand the office’s capacity and staffing. The individual is expected to coordinate all activity associated with the application, submittal, and oversight of external grants and sponsor-funded research and/or scholarly projects; administer multiple internal grants programs at the University of Indianapolis; and manage all administrative aspects of the Office of Grants & Sponsored Programs.

While this individual is not expected to write grants, they should have strong skills in helping applicants understand and properly respond to application requirements found in federal, state, and private grants and contracts. The individual should also have strong editing skills and an ability to support prospective PIs across a wide range of academic disciplines.

This is an on-campus role with the potential for a hybrid working arrangement.

Responsibilities- Coordinator

  • Identify appropriate funding opportunities that have the potential to benefit the university on an ongoing basis. Communicate those opportunities in a timely and effective manner to staff and faculty across the university.
  • Assist faculty, staff, and administrators with proposal preparation and tracking toward submission deadlines. Serve as liaison between potential funding agencies and applicants & route and track all proposals for external funding for necessary internal approvals.
  • Provide general oversight and assistance in the management of externally funded projects, including requests for extensions, project modifications, and close‐out at the end of the award period.
  • Submit fiscal and narrative progress reports to funding agencies in partnership with the identified PI and/or co-PIs.
  • Direct multiple internal grant programs – including review of proposals, oversight of recipient awards, and close‐out at the end of the award period, including the coordination of in‐service education to faculty, staff, and students on grant‐related topics and provide timely updates to various parties across campus related to grant-funded programs and services.
  • Maintain institutional grants activity database for reporting and working with the various academic departments and the university’s budgeting and accounting offices.
  • Manage office budget process paperwork to pay contractors and vendors.

Qualifications- Coordinator

  • Bachelor's degree required, Master's degree preferred
  • Minimum of three years experience in grants management or research administration, preferably in higher education setting
  • Must have excellent writing, communication, and project management skills
