Provide administrative and clerical support to the Chief Medical Officer, Chief Quality Officer, Medical Director(s), Manager of Medical Staff Services and medical staff leadership. Coordinates functions of the medical staff, i.e., department, committee meetings and on call schedules. Coordinate the continuing medical education program and maintain category one accreditation. Assist with other duties to ensure compliance with state, federal and accrediting agency regulations. Coordinate the updates and approvals of various policies including the Medical Staff Bylaws, Rules and Regulations and their distribution.
Essential Job Functions
Organize and maintain physician on call schedules in accordance with regulations (EMTALA)
Coordinate medical staff department and committee meetings - prepare agendas, meeting packets and send notices for meetings,
Take meetings minutes.
Provide assistance to Department and Committee Chairs
Perform general clerical/office functions.
Answer incoming telephone calls.
Process mail.
Collect dues/fees and maintain financial records.
Communicate with administration, medical staff, and nursing and other hospital departments.
Track and order supplies.
Prepare a variety of materials such as correspondence, minutes, graphics, and reports.
Coordinates and schedules meetings and social functions.
Maintain medical staff lounge.
Distribute pertinent information to medical staff members and hospital departments.
Schedule conference rooms, plan for equipment.
Follow-up on open agenda items.
Maintain record of minutes in accordance with regulatory body requirements.
Maintain records of attendance.
Assist with electronic presentations.
Actively participate in Office of Medical Affairs weekly and daily meetings.
Monitor medical staff mandatory education compliance.
Other duties as assigned.
Competency and Experience [Knowledge, Skills and Abilities]
Required Qualifications/Experience
High School Diploma, GED or higher level of education.
One (1) to three (3) years of relevant recent experience.
Strong leadership ability, good organizational skills, independent and critical thinking skills, sound judgment, and knowledge of legal aspects and liability of nursing practice.
Strong ability to communicate complex and/or controversial topics and concepts to a wide and diverse audience.
Proficiency in the use of Microsoft Office, Word, Outlook, Excel, PowerPoint, TEAMS, audiovisuals and various software programs.
Ability to multi-task and prioritize assignments.
Preferred Qualifications/Experience
Associate’s in related field preferred.
Medical Terminology.
Experience in Healthcare setting.
License, Certification & Clearances
Act 34-PA Criminal Record Check from the PA State Police system
Position Type/Expected Hours of Work
Incumbent will be scheduled based on operational need (rotate shifts, standby, on-call, etc.).
Travel may be expected locally between System locations.
